Iron Galaxy Studios is seeking an adaptable, experienced, and personable Senior Executive Assistant to join our Operations team in Chicago. We are a well-established independent game developer who has worked with the titans of our industry to ship more high-caliber games than any other indie developer. We’re known for our excellent work on Killer Instinct, as well as bringing Skyrim and Diablo III to the Nintendo Switch. As our Senior Executive Assistant, you will be the first line of defense in supporting our Executive Team with balancing the many demands on their time and attention, both internally and externally. You’ll be involved in supporting visits from high-profile business partners. You will need to be a solutions-oriented, creative problem solver, that can roll with the punches as travel schedules, issues, and demands shift from week to week. You’ll be the secret weapon of the executive team, helping ensure they are where they need to be as well as protecting their time for Iron Galaxy’s most important relationships and priorities.
This position is part of a broader Shared Services team, which provides a range of support to the whole studio, including HR, IT, Facilities, and Operations. This group collaborates to provide pragmatic, proactive, and scalable solutions to the whole company, supporting our growth and ensuring the best employee experience for everyone who works for Iron Galaxy. This includes supporting visits from high-profile business partners and clients.
Key Responsibilities
- Collaborate with our executive team through effective schedule management and prioritization to maximize the impact of their time
- Act as liaison between executives and external partners on key meetings, both virtual and in-studio
- Manage complex international travel booking needs
- Protect confidential information
- Develop and run processes for expense management and reporting, in partnership with Finance
- Attend certain key meetings and capture comprehensive notes/actions for reporting
- Create agendas, itineraries, and other support materials for executives and related meetings
- Develop positive and effective working relationships with the executive team, each of whom have different working styles and communication preferences
- Participate in company event planning and provide operational support for some company events (e.g. catering, invoicing, scheduling, etc.)

- Extensive experience working with executives and top leaders of small- to mid-size companies, including administrative aspects of executive support (e.g. expenses, travel booking, meeting prep)
- Able to stay organized in a fast-paced, changing environment
- Great written and verbal communication skills; able to accurately assess what style of communication is needed for given situations (e.g. fun and light; clear and professional; focused and urgent, etc.)
- Highly resilient and organized person, able to manage expectations effectively at all levels
- Adaptable and able to navigate a range of personalities, working styles, and communication preferences
- Personable and friendly, with a willingness to be involved in studio life (e.g. events, game nights, making friends, etc.)
- Discrete and sensitive to confidential information
