Global Real Estate & Facilities / Facilities Operations
What We Do
Our Facilities team is responsible for building a unique and creative environment for our growing teams and offices around the world. From Cary to Berlin to Shanghai, our Facilities team selects, designs, and maintains our global campuses. Facilities takes part in guaranteeing the everyday operations at our offices run smoothly, organizing and orchestrating global support as well as leading the build-out of our new 450,000 square foot headquarters located in Cary, NC.
What You'll Do
In this position, you will lead a high-performing team of in-house and outsourced resources to: maintain and operate the HQ facilities to Epic standards, enable the safety and productivity of the occupants and preserve business continuity.
In This Role You Will
- Deliver all facilities and designated employee services, including (but not limited to) operations and maintenance, energy management, janitorial, landscaping and exterior maintenance, inventory management, space management and occupant move coordination, furniture management, shipping; receiving, food; beverage, transportation, reception and general office management, etc.
- Ensure all relevant financials, buildings and projects are aligned with budgets and in compliance with all reporting requirements.
- Establish performance metrics and drive measurable improvements. Ensure that all services are performed and delivered in accordance with contracts and KPIs
- Administration and continuous improvement of all service delivery processes
- Advance internal partner relationship management and communications with key stakeholders and executive leadership
- Communicate GREF strategies for the site with business stakeholders, while monitoring and translating feedback into actionable tasks
- Provide mentoring, coaching and development of team members at the HQ site. Work with local team to develop both technically and professionally. Builds a team culture based around safety, engagement, ownership, and improvement.
- Responsible for maintaining world class facilities to Epic’s standards while empowering your local team to provide the highest level of customer service to our team members, visitors and vendors
- Serve as escalation for employees and vendors regarding all local Facilities issues
- Lead Workplace Health, Safety, and Environment initiatives for local office, implementing global and/or regional programs as mandated by law or policy
- Implement global and/or regional Facilities programs and policies as required
What We're Looking For
- Proven experience in the oversight and delivery of facility management and employee services in relevant technically-oriented, full-service facility environments
- Ability to assemble and lead high-performing internal and external partner teams to deliver all services across the Cary Campus
- Knowledge of facility management and services-related sourcing, procurement and contract negotiations, as well as the associated internal corporate interfaces
- Knowledge of facility planning and design
- Strong organization with proven leadership and interpersonal skills
- Excellent oral and written communication skills, including presentations to senior stakeholders and Executives
- A track record of championing speed, flexibility and frugality in the face of rapid change and extremely heavy workload
- Demonstrated ability to think strategically and successfully execute tactically
- Effective resource management and program management skills
- Assist with various project delivery for the region, including network initiatives, capital projects, asset replacements, system improvements, building improvements
- Engage additional project management support for larger project activities providing liaison to the client and project management teams
- Collaborate with peers to ensure consistency and best practices across the region, often with group decision-making and goal setting
- Provide strategic input for real estate decisions, including office build-outs, expansions, downsizing, consolidations and acquisitions and work cross-functionally with other internal support organizations, such as IT, HR, Finance and Legal to ensure cohesive delivery of services.
- 5 years experience in the operations management and workplace service experience with an emphasis on facilities, hospitality, corporate services, property management or equivalent office management experience within a large organization
- Must have excellent people skills, with the ability to help identify end user needs and deliver to those needs, while guiding to cost effective solutions where possible
- Proficiency with G-Suite© , Box©, and Smartsheet© and iOffice© a plus
