About the Position
The Program Activation Manager, Events position will be based at our San Francisco Headquarters. This role manages the execution and reporting on event and sponsorship programs in the US and other global regions. Programs executed range from organizing sponsor presence at events, integrating clients into our event live streams, planning influencer meet and greets, to hosting gaming tournaments. The ideal candidate is a creative, tactical thinker who acts fast and knows how to problem solve for situations outside of their control. A strong project management background and a clear understanding of the success metrics for events is a must.
This position will report to the Head of Sponsorship Operations and will work closely with the Sponsorship Sales, Event Marketing, Content and Creative Services teams throughout the execution process for each program. This position will also involve managing designers, video producers and other vendors as needed to complete each project. Must have a passion for driving events of all types with a mind for seeking solutions while delivering quality.
Responsibilities
- The execution, management and quality control of projects from sale to project completion, while ensuring client satisfaction and meeting all timeline milestones by delivering within the approved budgets
- Coordinate with cross functional teams to secure their buy-in for client inclusions
- Assist sales with gathering requirements, specs and documenting statements of work
- Create event budget and pricing for new opportunities
- Coordinate timelines and execution with cross functional teams, partnerships, event marketing, production, etc. as needed per program
- Conduct and lead kick-off and status meetings regularly with clients and the internal team to ensure thorough communication with all stakeholders at all stages of every project
- Create and maintain schedules and budgets, securing approvals, coordinating action items and communicating cross-functionally with design and sales to maintain workflow through the final asset release
- Establish processes to avoid and/or resolve scope creep, budget overages, or efficiency issues
- Proactively communicate with clients about production recommendations, risks, challenges and solutions
- Onsite/live program and client management
- Actively own and be accountable for client relationships after the program has sold through, with special attention to profitability, tracking and managing resource consumption, financial reporting and billing
Requirements
- 4+ years of hands-on project management/producing experience with events
- Experience managing and running events and outside vendors (e.g. unions)
- Knowledge of event related costs and experience in estimating spends for activations, sometimes with many revisions
- Experience in a client services/account management role, working with and delivering to external clients
- Strong understanding of digital technologies
- Must be able to communicate ideas clearly, professionally, and persuasively at an individual and group level
- Excellent oral, written, and presentation communication skills
- Must be extremely organized, detail-oriented and capable of self-managing and multi-tasking in a fast-paced, demanding environment
- Excellent problem-solving skills
- Ability to apply critical and strategic thinking
- Stress-tolerant, quick thinking and accurate
- Expertise with Word, Excel, PPT, Asana, JIRA
- Strong interpersonal communication skills as a team leader and team player
- Flexibility, initiative, dedication, and the ability to work with minimal supervision
- Willingness to travel on occasion for client meetings, trade shows and/or conferences (25-35% travel national and global)
- Thrives on project timelines
