Your Position
Under the direction of the Payroll Director, the Production Payroll Coordinator administrative & end-to-end Payroll tasks support the Payroll Operations team in all administrative aspects to ensure Payroll accuracy & timeliness. Helps manage the department’s case management system to provide timely responses to Payroll requests & inquiries. This position requires comprehensive knowledge of Payroll, excellent communication skills, functional & transactional audits of electronic data, as well as experience in building & maintaining relationships with internal/external customers.

- Delivers Payroll operational standard processes with regard to weekly Production Payroll functions
- Daily management of Payroll department-assigned cases via the Company’s case management system
- Daily management of incoming/outgoing department mail
- Manage weekly timecard approval & submission of contractor timecards expenses to ensure payments are made timely & accurately
- Manage approved new hire onboarding processes via 3ps system. Verify, review & approve the start packet for pertinent documents including I-9 Form, compensation, work state, project name, GL codes, additional deal points, others
- Coordinate recurring funding requests for approval; reconcile invoices (requires the use of Company invoice system & 3ps Payroll system)
- Create & manage project creation & Payroll workflows within the digital timecard management system
- Support financial operations related to the employer of record Payroll including invoicing, coding, budgeting, reconciliation, reporting, & projections, working closely with Blizzard’s accounts payable team & the broadcast & events business operations team
- Partner with the employer of record (3ps) to analyze, report on, document, & improve production Payroll systems & business processes
- Develop & facilitate training for production team members & staff on employer of record requirements, processes, & standard processes
- Perform continuous timecard quality checks; ensure accurate entry per specific regional, project, & contractor requirements
- Request & audit Payroll adjustments to rectify payment imbalances & other concerns
- Archiving & proper record-keeping of Payroll supporting documents; both electronic & hard copies
- Provides support with duties as specified by Payroll Operations, Payroll Tax Operations, & department management
- Collaborates with a team environment to meet all departmental goals & deadlines
- Establish strong and consistent partnerships with all applicable Business Partners/Departments
- Maintains applicable compliance knowledge by reviewing & studying professional publications as well as completing Payroll educational courses annually or as requested by department management
- Participates with other Payroll related projects, including internal & external Payroll audits
- Exercises good written & verbal communication skills to ensure customer service standards are delivered; Prepares thoughtful, informative, & supportive written & verbal communications to internal & external contacts; Ability to maintain confidentiality & exercise extreme discretion
- Partner with studio manager & production managers to maintain visibility & accurate records of staff schedules & attendance
- Excellent problem-solving/judgment skills, & a high level of attention to detail & accuracy
- Opens & tracks tickets/cases with Payroll vendor for production issues & process improvements
- Provides processing support to Payroll Operations
- Ensures the integrity of the Payroll Operations Guide & the Payroll Shared Service SLA
- Complete other duties & responsibilities as assigned
Knowledge and Skills
- 2-3 years in a Payroll Office performing Payroll administrative support functions.
- Knowledge of state & federal wage & tax laws & overtime requirements.
- Proven customer service skills while maintaining a confidential work environment.
- Ability to effectively communicate information to employees & management.
- Ability to positively & collaboratively work in a team environment.
- Ability to maintain confidentiality & exercise extreme discretion.
- Ability to handle & prioritize multiple tasks & meet deadlines.
- Ability to perform physical requirements of the position with or without reasonable accommodations.
