nDreams is looking for a Personal Assistant with a cheerful disposition and a good sense of humour to provide personalised administrative support to the company Founders. As a Personal Assistant (PA) your primary responsibility will be to provide high-level administrative support. You will play a crucial role in ensuring smooth and efficient operations, enabling the directors to focus on their core responsibilities. You will be responsible for managing their schedules, coordinating meetings and travel arrangements, handling confidential information, and facilitating effective communication both internally and externally. The role requires exceptional organisational skills, attention to detail, discretion, and the ability to multitask in a fast-paced environment.
What will you be doing?
- Calendar Management: Efficiently manage the directors' schedules, including arranging meetings, conferences, and appointments, and proactively resolving scheduling conflicts.
- Travel Coordination: Arrange domestic and international travel, including flights, accommodations, and transportation, ensuring smooth and timely logistics.
- Meeting Coordination: Prepare agendas, coordinate meeting logistics, schedule rooms, and arrange necessary equipment and materials. Attend meetings, take minutes, and distribute them to relevant stakeholders.
- Communication Management: Screen and prioritise phone calls, emails, and other correspondence on behalf of the directors. Draft and prepare professional business communications, letters, presentations, and reports.
- Information Management: Maintain confidential and sensitive information. Organize and maintain electronic and paper filing systems, ensuring easy retrieval of documents.
- Relationship Management: Build and maintain positive relationships with internal and external stakeholders, including staff, board members and investors effectively representing the directors.
- Project Support: Provide assistance on various projects and initiatives by conducting research, compiling data, preparing presentations, and coordinating resources as needed.
- Expense Management: Process and track expenses, ensuring accurate and timely input.
- Office Management: Coordinate office activities handle incoming and outgoing mail, and maintain a neat and organised office environment.
- Confidentiality: Maintain the highest level of confidentiality and discretion when handling sensitive information or documents.
Who are we looking for?
- A cheerful individual with a good sense of humour.
- Proven experience as a Personal Assistant or Executive Assistant, supporting senior-level executives or directors.
- Exceptional organisational and time management skills, with the ability to prioritise and manage multiple tasks simultaneously.
- Excellent written and verbal communication skills, with a professional demeanor.
- Proficiency in using office software and applications, including MS Office (Word, Excel, PowerPoint (particularly important), Outlook), and excellent calendar and email management skills.
- Strong attention to detail, accuracy, and problem-solving skills.
- Discretion and integrity when handling confidential information.
- Ability to work independently, exercise sound judgment, and take initiative.
- Flexibility and adaptability to changing priorities and deadlines.
- Strong interpersonal skills, with the ability to build relationships and collaborate effectively with individuals at all levels.
