GSN Games is looking for a qualified Office Manager to support our studio in Kyiv!
About the Ops Team:
We keep everything behind the scenes running smoothly. And when we’re not working on our hundreds of physical and cloud servers, there’s a good chance we’re playing backgammon with blueprints of the office floor plan.
What You'll Do:
As the Office Manager, you will specialise in high-level administrative task performance, finance, legal & HR management assistance, and daily office support/supply.
As our Office Manager you will:
- Manage all the communication with building administration, cleaning, security, suppliers, couriers etc
- Control contracts with all the suppliers (Landlord, Cleaning, Security, external vendors etc), managing new contracts, prolongations and terminations (paperwork)
- Order office supplies, schedule food/water deliveries and manage invoice requests and approvals
- Work with budget sheets (appreciation budget, additional expenses)
- Organise equipment delivery (for new PE or upon request)
- Work with courier deliveries, postoffice, taxi service (that include invoice requests and approvals)
- Work with primary accounting documents (paperwork) and with 1C accounting program
- Prepare documents for workplace rent for new PEs (contract, transfer-acceptance certificates, signing process and paperwork)
- Handle internal enterprise orders (creating upon request)
- Manage equipment and furniture inventory (semi-annual, annual)
- Manage online English classes (that includes management of the invoices, TAC and contract)
- Fill the sheet files (risk assessment, building updates, return to office updates, covid protocol by location, etc)
- Search for new vendors upon request
- Support business trips if needed
- Assist HR with online and in person social events (preparations and deliveries, including budget)
- Assist HR with onboarding/offboarding, announcements and any information related to work processes
About You:
Our Office Manager will have strong experience in facility management with exceptional administrative and operational skills.
You'll have:
- 5 years of administrative experience, customer service, and facility management
- Strong project and time management skills, interpersonal skills
- Excellent written and verbal communication skills
- Upper-Intermediate English
- Experience with paperwork in Legal and Accounting (agreements, invoices and other documents)
- Experience with 1C
- Experience in document management (official letters, enterprise orders)
