What You'll Do
We're seeking an Office Coordinator to join us in Guildford for 12 months (Fixed Terms). As an Office Coordinator, you will work closely with your regional or office Team lead to manage the office and support Epic Games programs.
You'll interact with internal customers and guests daily through managing all incoming telephone calls for the office, assisting with shipping, and receiving, coordinating catering, and other receptionist tasks. You'll also manage the visitor log and company lobby areas to ensure they comply with workplace health, safety, and environmental policies and laws.
Excellent customer service skills and communication skills are a must, as you'll serve as the main point of contact for employees and vendors regarding all local facilities issues and be the first impression of Epic Games for all visitors.
In This Role You Will
- Serve as the “face of the Global Real Estate & Facilities” organization to all occupants and visitors within the studio
- Coordinate daily catering as well as needs for internal or customer events
- Order and stock adequate supplies for the office and necessary departments
- Assist with vendor management
- Handle all maintenance and repair visits between the building, property management, and outside vendors
- Manage office cleanliness and communication with janitorial staff
- Coordinate setups for all new employees
- Assist with moves and space planning
- Jointly responsible for the local office intranet page
- Assist with all workplace health, safety, and environmental initiatives, including global or regional programs as mandated by law or policy
- Assist with global or regional facilities programs and policies
- Oversight of safety & security-related services
- Utilize the physical security system and continuously follow the global security policy
- Responsible for the local office intranet page
What We're Looking For
- 1-2 years of experience
- Excellent English language skills, both written and verbal
- Proven performance in delivering best-in-class customer service
- Ability to multitask and prioritise
- Extensive experience developing systems and processes to make all office operations run smoothly is a plus
- Detail-oriented, with an ability to work with little direct supervision
- Familiarity with office applications; prior experience with Google Suite, Slack, Zoom, MS Office and Google Docs Experience is an advantage
