Office Administrative Assistant
Aliso Viejo, CA
This is a 12 month contract opportunity is with Sony Interactive Entertainment - Future Technology Group (FTG).
Our Office Administrative Assistant role is for an individual that enjoys working in a fun, fast paced environment, supporting various team members and various projects and tasks. You will act as part of our support team, so you will need excellent organizational and coordination skills coupled with a proactive and friendly attitude! You will play the ‘go to’ person for our Team in Aliso Viejo.
Responsibilities:
HR/Employee Engagement
- Handling Administrative tasks for people joining, leaving and other staffing changes
- Lead and organize initiatives for employee engagement through events, celebrations, and team meetings.
Facilities
- Manage relationships with facility vendors, cleaning service, building maintenance and improvements, etc.
- Maintain kitchen and office supply inventory; order office supplies as needed within budget
- Keep conference rooms, kitchen and all communal areas clean and neat
- Prepare FedEx packages and other outgoing/incoming mail as requested
Administrative
- Maintain calendars for up to 5 managers, including: meetings, phone and video conferencing, facilities’ booking, contact coordination, travel, external time blocks, etc.
- Prepare travel (flights, boarding passes, hotels, etc.) and expense reports for up to 5 managers in accordance with travel policies and specific executive travel details.
- Create Google spreadsheets/docs to ensure appropriate information is shared with CA offices (i.e., office spend on food and events, etc.)
- ad hoc duties as directed
- Liaise problems or questions with internal departments in IT or Facilities
- Serve as the knowledge base for everyone that works within the department
Requirements:
- Minimum 3 years’ experience in an office administrative role
- Proficiency in the use of all Microsoft Office Products (i.e., Word, Excel, PowerPoint, Outlook)
- Friendly, a team player and enthusiastic
- Outstanding communication skills (written and verbal)
- Demonstrated time management and organizational skills
- Ability to self-motivate and work with limited supervision
Experience/Education:
- 2 years’ experience in related experience
- Administrative experience supporting a software and/or hardware engineering team.
- Associate degree or equivalent
