Licensing Administrator

POSITION SUMMARY
The Licensing Administrator will work with the IP Licensing department globally to support licensing tasks in IP Strategy department. The primary job responsibilities involve assisting the Licensing business with administrative and support tasks ranging from assisting approval of the licensed merchandise, managing assets, licensee compliance, sample organization, tracking deals, and assistance with event planning.

ESSENTIAL DUTIES AND RESPONSIBILITIES
- Support approvals through software such as MyMediaBox, and necessary communication with licensees and our Japan Headquarters
- Onboard licensees and provide the brand guidelines and approval process
- Responsible for engaging with internal and external approval correspondence, offering suggestions and recommendations to key stakeholders to ensure timely product launches
- Handle assets and brand style guides using Microsoft OneDrive and Sharepoint
- Track status of product launches by maintaining launch schedule
- Assist with the creation of brand presentations
- Collaborate with Finance Team to coordinate invoices to licensees
- Generate weekly reports of approved SKUs to stakeholders using MyMediaBox
- Maintain sample management process by obtaining, tracking, and organizing samples and coordinating with licensees to ensure contractual samples are sent
- Support with trade show preparation
- Support the Amazon storefront merchandise by uploading and maintaining current SKUs
- Document and track existing licensing agreements and potential deals
- Record and audit royalty statements from licensees every quarter and communicate with the Licensing Team on status of royalty statements
- Track and upload SKUs using Fadel (deal & financial management system) and cross reference with the Approvals Platform (MyMediaBox)
- Act as the point of contact for weekly approval meetings with Japan Headquarters as requested
- Perform other duties as assigned
QUALIFICATIONS/REQUIREMENTS
- 2+ years administrative experience
- Highly detailed and organized
- High comfort level with using file transfer programs
- Excellent verbal and written communication skills in English & Japanese (Bilingual) preferred but not required
- Demonstrated experience/excellence in using Excel, PowerPoint, Word and Outlook
- Team oriented with the ability to work collaboratively in a team environment and cross-departmentally to exceed team goals.
- Experience and knowledge in the game industry is preferred
- Strong problem-solving skills
- Ability to multitask in a high-pressure environment within the organization to achieve business objectives
- Ability to self-motivate and work efficiently in a fast-paced environment with fluctuating priorities and deadlines
- Must to have a valid driver’s license
- Must to be able to lift 30 Lbs.
EDUCATIONAL REQUIREMENTS
- Associates degree in Business, Marketing, or other relevant field of study
- Or relevant work experience
Salary Range: $61,258 - $88,856
Actual base salary will be determined based on numerous relevant business and candidate factors including, but not limited to, education, qualifications, certifications, experience, skills, geographic location, and business or organizational needs. The salary range listed is just one component of the total compensation package for employees and it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case.
