Job Summary:
Square Enix is seeking a full time Legal Operations Specialist to help manage operational technical and administrative matters for the legal department within its video game publishing operations throughout Europe. We work at the forefront of technology with some of the greatest IPs in the world such as Final Fantasy, Kingdom Hearts, Dragon Quest, Outriders, Life Is Strange and the legendary Space Invaders.
The Legal Operations Specialist will be an integral part of our international legal team helping the London Legal Team with their operational, technical, and administrative needs. This position will manage the Legal Department’s various operational and administrative requirements such as legal contract requests through its internal C365 tool, configuring improvements to the tool, issue spotting with tool and managing and implementing changes; query and contract allocation to lawyers, contracts administration, contract signature processing, scanning, digital filing, and any other operational/administrative responsibilities as needed.
Requirements
Key Deliverables:
The Legal Operations Assistant’s duties include but are not limited to:
- Being the internal and external face of the legal team with regard to C365 and other tools required by legal and the first point of contact for internal and some external stakeholders.
- Working closely with US Legal operations specialist to develop, test, and implement configurations, make improvements, collect feedback, and work with external support provider.
- Upkeep of C365 system, including verification of legal entities, updating migrated legal entities, contracts, and documents.
- General management of data in C365.
- Troubleshoot any issues with C365 and legal tools.
- Managing London legal team budget tracking invoices, sending invoices for payment, updating budget on Excel, liaising with Director of Legal on budget.
- Administering signature process for all agreements including signing, scanning and digital filing.
- Administering review, approval and payment of invoices received by the Legal department, working with the finance department and internal stakeholders.
- Co-ordination of external outsourcing of any legal work to outside counsel as required.
- Maintaining files and records and establishing/improving existing systems for managing new and archived documentation.
- Conducting user registration, support and training relating to the online contract request and management system
- Co-ordination of legal query and contract request allocation to lawyers within the legal team.
- General administrative support and assistance to the legal team.
Key Stakeholders:
This position will include regular interaction with the legal team in London and Los Angeles.
Knowledge & Experience:
Essential:
- Experience of working with a cloud-based Contract Management System (CMS) tool.
- Confident with technical queries regarding software implementation.
- Experience and comfortable with Adobe sign/DocuSign
- Expertise with Microsoft applications (Excel, Word, Planner, OneNote, PowerPoint) and use of scanner/copiers.
- Familiarity with coding syntax and logic.
Desirable:
- Experience within an office administrative environment.
- Experience with coding.
- Experience with JSON.
- Experience with SharePoint.
- Experience with Miro
Competencies, Skills & Attributes:

- Must have excellent organisational, time management and communication skills.
- Proficiency with Microsoft Office, Excel, and Outlook.
- Ability to work autonomously and learn new software skills.
