IT and Facilities Administrator

We are an independent games development studio based in Guildford, established in 2008. We currently employ just over 200 talented people working on console and PC games. Our teams are an eclectic mix from very technical programmers to highly creative artists, designers and audio specialists. We pride ourselves on our friendly, energetic and collaborative working environment.
We're looking for an enthusiastic, reliable and experienced IT and Facilities Administrator who will support the Head of IT and Facilities and the IT team with the day-to-day running of those areas.
The role reports to the studio’s Head of IT and Facilities and is based on site at our Guildford studio. Due to the nature of this work we are unable to offer this as a remote role.
Your duties will include, but are not limited to:
Buildings Management
- Liaising with the building administration regarding any issues with the provided facilities
- Daily checks of facilities like meeting rooms, kitchens, etc. to ensure they are tidy and all equipment is present and working
- Tracking of access cards
Systems Management
Asset Management
- Tracking and auditing all IT and studio equipment
- RMAs
- Electronic recycling/disposal
Purchasing & Supply Management
- Ordering IT and facilities items, and tracking spends
- Liaising with suppliers and keeping office supplies appropriately stocked
- Ordering studio supplies such as fruit, coffee, etc.
Storage Management
- Keeping storage areas tidy and well organized
Health & Safety
- Arranging health and safety risk assessments
- DSE assessments
- First Aid
- Emergency procedures, including fire evacuation
General Admin
- Answering telephone calls, enquiries and requests, and handling them when appropriate
- Collecting and distributing the post, organising couriers as needed
- Arranging printing, including stationery and artwork
Requirements
We are looking for someone who can quickly make a good contribution to the studio. You should be:
- Experienced with general office administration and facilities admin and processes (see below for more information)
- Highly organised and able to rapidly switch between different tasks of differing complexity
- PC-literate including good Microsoft Office (Word, Excel, PowerPoint) skills
- A stickler for attention to detail!
- Able to maintain confidentiality in all aspects of the studio’s work
- Able to work as part of a team, but also be self-motivated when working alone
- Resourceful and adaptable
- Able to effectively communicate with a broad range of individuals
- Willing to take on new challenges and learn new things
- Prepared to rise to a challenge and do whatever to takes to support the efficient running of the Studio
