IT Purchasing and Asset Coordinator (1-year contract)

Kabam is looking for an IT Purchasing and Asset Coordinator to assist in the purchasing and asset management processes for our IT operations.
This is a great opportunity for an administrative professional who is familiar with IT assets, software licensing, and contract management. You will provide value by creating efficient processes and mentoring others in aspects of purchasing and vendor management.
This position will be reporting to the Director of IT and supported by Kabam's Leader group, IT, legal, and accounting department.
Occasional onsite work is required in this role, and all Covid-19 Safety protocols for BC businesses are in place.
The responsibilities of the IT Purchasing and Asset Coordinator includes:
- Requesting, reviewing, and comparing quotes for hardware, software, and services
- Creating purchase orders, ordering online services and products, collecting approvals, matching credit card expenses and invoices
- Comparing existing and new contracts and quotes for changes in pricing and terms
- Tracking and escalating purchasing and asset management processes from requisition to retirement
- Establishing best practices for documentation and implementation of procurement policies and procedures, using an iterative and flexible approach
- Documenting any processes and procedures in a Wiki clearly and in detail
- Communicating with internal stakeholders and vendors in a helpful, responsive, and solution-oriented manner
- Proactively monitoring purchase delivery times and escalating any risks
- Collaborating with IT, legal, accounting, and finance teams to provide key pieces of information or documents necessary for proper accounting treatment, approval processes, and record-keeping
- Reviewing, updating, and suggesting improvements for managing asset records for hardware, software, and services
- Where appropriate, assisting in the receiving, shipping, and retirement/disposal of assets
- Where appropriate, communicating and collecting information and supporting documents from vendors, partners, and contractors
In order to be successful for the position, we are looking for:
- 2+ years experience with purchasing IT software and equipment
- 2+ years in an administrative, legal, or accounting support role
- 1+ years experience with contracts, agreements, and records management
- High-level proficiency with Google Sheets and Microsoft Excel is required
- Experience analyzing data using filters, pivots, and multiple data sources
- High level of attention to detail
- Ability to produce effective documentation and process maps
- Vendor management experience strongly preferred
