STUDIO OPERATIONS
BASED AT SEGA HQ IN BRENTFORD
REPORTING TO HR BUSINESS PARTNER
POSITION OVERVIEW
The position will oversee the full employment lifecycle, with a specific focus on talent and recruitment, as well as helping to drive operational excellence. Working closely alongside the HR Business Partner and Localisation Manager, you will proactively anticipate and respond to the changing operational requirements of our Development Studios, ensuring that all projects are adequately resourced.
The position will be responsible for both talent attraction and ensuring the best employment experience for a diverse team. The HR & Talent Coordinator will support the day-to-day transactions within the People team, being the first port of call for all HR enquiries and support, along with the opportunity to get involved in any number of projects and initiatives.
KEY RESPONSIBILITIES
TALENT ATTRACTION/RECRUITMENT
- Administration and management of the recruitment process for Studio Operations vacancies from initial point of contact to onboarding.
- Support the LQA Manager in resource planning for the Localisation team, proactively flagging any potential shortcomings to ensure that the projects are adequately resourced.
- Manage LQA Recruitment processes, ensuring that ads are posted, candidates are screened, organising Assessment Days, conducting tests, interviews, support with the hiring process and preparation of regular recruitment reports
- Liaise with external recruitment agencies when necessary.
- Organise and coordinate any outreach opportunities, open days and recruitment fairs.
HR COORDINATION
- Own the full Employee Lifecycle & HR processes for Studio Operations
- Employee onboarding - end to end process owner – coordinating approvals, issuing and coordinating new starter information, organising the delivery/collection of equipment in a hybrid working environment, generating contract and offer packs, updating information on HRIS/related systems, reference requests, inductions & probation
- Offboarding end to end process owner – coordinating leaver paperwork and system updates & administering exit interviews where required
- Ensure that data is synchronised and accurate across all HR systems to maintain excellent data integrity
- Partner with SEGA’s Global Mobility team to ensure that any immigration compliance is adhered to.
- Maintain accurate employee records in HR Systems and partner with SEGA Payroll teams to ensure smooth running of monthly payroll.
- Create and maintain a department calendar, tracking punctuality, holiday and absence of the LQA Staff.
- Act as first responder to general employee queries or concerns, escalating these where necessary.
- Working with the HR Business Partner, provide support to senior Localisation staff with a variety of employee relations issues including disciplinary meetings and grievances, absence, performance management and recruitment.
- Working with the HR Business Partner, provide support to HR Projects and initiatives including driving Learning & Development, Diversity & Inclusion and Employee engagement initiatives.
- Working with the HR Business Partner, provide support in ensuing that the hybrid working arrangements are a success, and our teams are as engaged and productive working from the office as from home.
- Support with the preparation and maintenance of a variety of financial records and reports, including (but not exclusive to) finance, approvals, human resources, payroll, contract tracking, budgets, materials-support and associated resource-management tracking (attendance, punctuality, holiday requests).
- Support with the expenses approval process, ensuring each claim is in line with company policy and is approved by department head.
- Based on LQA's requirements and project needs, co-ordinate internal and external events, ensuring full visibility for the Studio Operations Management team.
KNOWLEDGE, SKILLS & EXPERIENCE
ESSENTIAL
- A minimum of CIPD Level 3 Foundation Certificate in People Practice (Foundation) or working towards this
- Excellent communication skills, and able to work effectively with colleagues and candidates at all levels
- Excellent ability to multi-task and adapt to priorities in a busy environment
- Critical and creative thinker, able to identify new and innovative ways to improve the way we do things
- Self-starter, not afraid to get into the details and execution
- Clear, concise and professional communicator both written and verbal.
- Flexibility to react quickly, reschedule and prioritise workload.
- Strong customer focus and high attention to detail.
- Ability to problem solve and find solutions to often complex issues quickly.
- Highly competent at a variety of computer programmes including Office and particularly Excel.
- Experience of staff planning, resource and process administration in a multi-project environment
- Recruitment experience: ability to maintain an adaptable approach to recruitment (familiarity with recruitment software and platforms will be a plus).
- Experience managing data and producing clear reports.
DESIRABLE
- Experience with payroll input and benefits knowledge
- Experience using HR databases and Applicant Tracking Systems
- Experience at using LinkedIn in a professional setting
- General understanding of the game localisation and testing process.
