HR/Office Coordinator

POSITION SUMMARY

Bandai Namco Entertainment America Inc. is on the lookout for a passionate HR/Office Coordinator with a strong customer-service mentality and exceptional organizational skills to help support our employees and business.

The HR/Office Coordinator will support both D3 Go! and Bandai Namco Entertainment America Inc. by providing a positive experience for all employees and championing our company culture. The HR/Office Coordinator will be responsible for onboarding new hires, managing employee documents, benefits administration, and recommending activities and initiatives to enhance company culture through employee events. This role will work collaboratively as needed with our IT team, Finance team, Recruitment team, and will report directly to the Manager, Total Rewards.

D3 Go! is currently operating under a hybrid work environment with employees spending one day a week working from the office in Encino, CA.

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Handle general first-tier questions from employees on existing policies, benefits, and procedures, and escalates to senior team members as necessary.
• Facilitate full employee life cycle, from pre-onboarding to termination.
• Coordinate new hire onboarding – including background checks, first day logistics between new hires and internal teams, overseeing desk setup, and collating personal information.
• Administer job change paperwork and corresponding HRIS inputs – including transfers, promotions, and terminations.
• Maintains the Employee Handbook; distributes to new hires and ensures information is accurate and up to date.
• Administers employee benefit programs, such as medical, dental, vision, life and disability insurance, 401(k), vacation, sick leave, and leaves of absence.
• Ensure the confidentiality and proper retention of all HR and employee data and documentation.
• Processes bi-weekly payroll and updates the payroll data system.
• Ensures compliance with safety regulations and administers workers’ compensation.
• Prepare ad hoc reports for a broad audience ranging from fellow HR to senior management.
• Maintain office environment, including office and kitchen supplies.
• Assists in clerical, administrative, and HR-related requests.

QUALIFICATIONS/REQUIREMENTS

• Passionate, positive, and trustworthy professional with a minimum bachelor’s degree and at least 2 years relevant HR experience.
• Experience handling confidential information.
• Strong business insight and judgement, team orientation, and collaborative style.
• Strong communication is second nature to you. Both verbal and written, you communicate transparently and concisely, you know how to manage expectations while also building trust.
• Experience with ADP and SuccessFactors is a plus.
