We are looking for a smart, enthusiastic and detail oriented HR/Finance Administrative Assistant.

Responsibilities

- Provide clerical and administrative support to Human Resources and Finance teams

- Maintain human resources files, records, and documentation; gathers, enters, and/or updates data to maintain departmental records and databases

- Aid in copying, scanning, sorting, distribution and/or mailing of materials

- Prepare reports related to personnel needs and activities

- Assist in planning and execution of special events such as health & wellness events (open enrollment, biometric screenings and in-house flu shot clinics)

- Assist in ad-hoc HR and Finance projects as needed

- Aid in periodic audits of HR files and records to ensure that all required documents are collected

- Answer frequently asked questions from employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.

- Act as a liaison between the organization and external benefits providers and vendors, which may include health, disability, and retirement plan providers.

- Process forms and or claims such as but not limited to verification of employment, EDD forms/claims, garnishments, and child support orders.

- May assist with the preparation of Human Resource reports such as attendance, new hire, and turnover reports.

- Identify opportunities for process improvement.

- Assist with the administration of employee benefits, which may include collecting and submitting employee information and notice of change in status to health, dental, life, disability, and other insurance carriers or insurance brokers.

- Maintain and audit I-9 forms

- Prepare Workers Compensation paperwork and files

- Assist with Wellness Programs and initiatives

Requirements

- Ability to identify and resolve issues in a timely manner

- Strong interpersonal skillsAbility to communicate clearly, both written and orally, with employees, managers and prospective hires

- Exceptional skills in effectively reading and interpreting information, presenting numerical data in a resourceful manner, and skillfully gathering and analyzing information

- Efficiency with prioritizing and using time effectively

- Impeccable organizational skills and a critical eye for detail

- Ability to follow instructions, respond to management direction, and able to improve performance through management feedback
