The role @ Sumo
We are looking for a second Front of House Administrator to join our Admin team in Sheffield to help run our busy reception.
As a Front of House Administrator, you will play a vital role in the overall experience to all our staff and guests being the first point of contact. We are looking for someone who enjoys working with other people and is passionate about delivering an excellent standard of service, going above and beyond to guarantee the experience at Sumo Digital is positive. Duties will include managing the switchboard, greeting clients and visitors, meeting room set up and managing stock orders. The hours of work will be fixed from 9:30am – 5:30pm, Mon-Fri.
The role will include but is not limited to:
- Being the first point of contact for all visitors to the studio
- Managing reception and the switchboard
- Facilitating client visits/meetings, including room booking, lunch set up, arranging travel etc.
- Managing all incoming and outgoing post
- Ordering and maintaining wholesale stock, stationary and printer supplies
- Health and Safety Inductions for new starters, contractors and associated administration
- Booking UK travel and accommodation for studio staff
- Parking management
- Monitoring the staff time management system to ensure all staff have swiped and clocked in/out appropriately, running daily reports and checking/reporting anomalies
- Absence recording and dealing with absence requests
- Assisting the Studio Coordinator with facilities and maintenance matters
- Other administration and projects as required such as assisting with event organisation and staff travel/accommodation.
- Providing support to staff in using a bespoke time management system
- Organising hairdresser appointments
We need you to have:
- Computer literate with a good working knowledge of Microsoft office
- Experience of working in a busy office in either a Reception or Administrative role
- A demonstrable ability to prioritise tasks in a methodical manner
- Ability to work as part of a team and independently using own initiative
- Ability to be resourceful and proactive with quick problem solving skills
- Solid communication skills and an excellent telephone manner
- Ability to adhere to in-house style, follow instruction and pay attention to detail
- Ability to maintain a high level of confidentiality and discretion
- Can communicate effectively with a diverse range of staff, maintaining effective working relationships
