Role: EA To SVP Operations & FP&A, GSBO & VP Finance & Special Projects (Mat Cover)
What you’ll be doing:
- Manage a complex calendar and prepare detailed agenda for high-level meetings, plan domestic and international travel itineraries and meetings accordingly for the Executives
- Global Interaction: managing complex schedules across multiple time zones and to coordinate smoothly in various cultural settings. Scheduling Executives time when away.
- Conduct a timely flow of information, obtain signatures and authorisations, answer and screen emails and manage correspondence flow for the Executive.
- Facilitate in managing Executive’s daily scheduling. Notifying team members or outside colleagues of changes to plans/meetings.
- Liaise effectively with your global Executive Assistant counterparts and build strong working relationships with a wide range of company stakeholders.
- Create, track, and update organization/team related projects and documents monthly as assigned (i.e. organisational charts)
- Professionally represent the Executive through initial contact meetings or telephone conversations, act as an administrative liaison.
- Support office space planning needs as growth occurs within team and work closely with HR, hiring managers, and the facilities team to make necessary adjustments. Working in a flexible/agile way in terms of office v remote working.
- Maintain the Executive’s confidence and protect operations by keeping information highly confidential.
- Organise Staff reward scheme for exceptional performance.
- To coordinate and schedule meetings, and prep and dissemination of supporting materials. To ensure all aspects of meetings/conferences are organised, agendas developed, and prompt action taken maintaining timely responses to deadline always. To attend and minute meetings as needed.
- Full event and project management for the Global Finance, FP&A and Operations team meetings, events, and conferences, working in collaboration with Facilities, IT, and external parties as needed on and off-sites.
- Identify creative venues for offsite leadership, partner, and team town hall meetings; take into consideration of preferences and limitations with budget, travel, dining, and entertainment.
- Managing social events for both the GSBO and Finance Teams. These include online events monthly and other key dates in the calendar. During restrictions this includes staff care package.
- Post Covid – Managing department offsites, Management Team offsites and department key celebrations.
- Part of the GSBO Social Committee – making sure the global teams are aligning in employee engagement.
Project Coordinator/Analysis – Special Projects
- Working within the Project Management Office, assisting project mangers and senior stakeholders.
- Co-ordinating Steering Committees and taking minutes/actions.
- Sourcing locations and scheduling training programmes for large scale projects.
- Assisting in a communication team for special projects
- Previous project and events experience is a must have.

- Presentations: Creating compelling presentations with design sensibility and impact (i.e.: convert hand-drawn data on a notepad into a visually appealing PowerPoint slide).
- Communication and Contact: Communicates effectively both verbally and in writing with superiors, colleagues, and individuals inside and outside the Company.
- Relationships with Others: Works collaboratively and effectively with senior executives, colleagues, and individuals inside and outside of the company; capable of bringing people together
What we’re looking for
Experience
- Proven EA experience and/or administrative/relevant work experience
- Proficiency in Microsoft Office Suite (especially PowerPoint)
- Strong communication skills, both written and oral
