Summary: The Executive Assistant is a high-level administrative support position to the CFO and VP of Communications & Corporate Affairs. The Executive Assistant will manage the day-to-day administrative affairs for both of our executives for a publicly traded company with global activities across various time zones and cultures.
Responsibilities:
- Provide the CFO & EVP of Operations, Aristocrat Gaming, and the VP of Communications & Corporate Affairs with background information, meeting summaries and/or supporting documents in preparation for scheduled appointments, meetings, and speaking engagements; coordinate with other departments as necessary for speeches and communications for preparation of specific engagements and maintains and tracks detailed priority list of projects.
- Design general correspondences, memos, charts, tables, graphs, business plans, duplication of materials, etc., for each executive as needed.
- Maintain an efficient flow of information between all levels of the organization including internal and external contacts on a wide spectrum of plans and priorities but at the same time, m anage highly confidential and sensitive information with the utmost discretion.
- Screen incoming calls and correspondence; determining nature of call and whether it requires the attention of the leader, take messages, and maintains contact lists, and whenever possible responds to caller directly based on knowledge of leader’s preferences, office functions, policy, priorities, and availability or makes sure the caller receives appropriate transfer to another department.
- Determine which correspondence can be handled by self and takes initiative in drafting responses for the leaders’ signature based on knowledge of their activities, interests, priorities, and issues.
- Follow same procedures for electronic mail.
- Review, proofread, and format all correspondence prepared for the leaders’ signature to ensure accuracy and completeness, as well as consistency with the association’s policy standards and exercises good judgment in following up with staff to ensure deadlines are met on documents requiring either of the executive’s signature.
- Schedule and organize all activities/appointments such as global meetings, conferences, events, speaking arrangements, travel, car services, and association activities.
- Event management includes invitations, site selection, related details and handle changes and cancellations as deemed necessary and/or appropriate.
- Greets and manages all visiting members and guests in addition to handle all their needs for the duration of their stay.
- Serve as a liaison with other departments, affiliate organizations, government offices and other agencies and senior level staff.
- Handle all business finances, reconciles credit card statements and manages all expense reports in a timely manner along with processing invoices.
- Prepare annual business plan documents and quarterly business plan reports.
- Assists with development of budget.
- Work independently and within a team on special and ongoing projects when necessary.
- Provide personal support as needed.
What We're Looking For
- 5+ years prior experience supporting C-level executives who are high-profile and well-travelled.
- Previous experience as administrative support in a publicly traded company.
- Effective communication and analytical skills, both oral and written.
- Excellent writer who understands the importance of correct grammar, spelling, and punctuation.
- Operational mindset, candidate should understand or be willing to learn business acumen and the importance of continuous high-performance/delivery towards goals set.
- A strong relationship-builder: individual should understand the importance of building and scaling relationships across the business and with external audiences including partners, customers, political, and community organizations with sensitivity paid to nuances within each.
- High degree of integrity and ability to maintain confidential and sensitive information.
- Bachelor’s degree strongly preferred; i ndividual must have a minimum of two years college training and a minimum of five years of combined executive-level administrative support experience.
- High level of proficiency in Microsoft Office Suite tools, PowerPoint, Excel, Adobe PDF.
- Eagerness to support executive team and be available as needed (24/7 nature of business).
