We are looking for an experienced Executive Assistant to be an indispensable partner to our Executive Team to meet the organization’s administrative goals. To be successful within this role our ideal candidate will be highly organized with a strong initiative and drive, a committed presence, and excellent communication skills. In this role you will directly support multiple executives and play a key role in driving efficiency across the organization.
HOW YOU’LL CONTRIBUTE:
- Effective calendar management for the C-level suite including responding to and prioritizing meeting requests, and coordination of internal and external meetings, including the technical set up, restaurant reservations, catering and reminders
- Coordinate and schedule large, cross-functional meetings such as the Quarterly Goals Kick-off, Monthly All Hands and Weekly Leadership meeting; manage the agenda, take notes, and keep track of action items
- Book travel and create detailed travel itineraries including but not limited to booking flights, venues, rooms, meetings, accommodations, and meals
- Prepare legal documents for signature including ICAs, MSAs, NDAs, etc.
- Manage monthly expense reports for C-level suite, including internal bookkeeping for related expenses
- Continuously evaluate departmental administrative workflows and processes, and make recommendations for improvement
- Oversees other special projects or duties as assigned by management
WHAT WE NEED:
- 8 + years of experience doing administrative work, supporting executive level leaders; entertainment industry preferred
- Advanced in both Google Suite applications and Microsoft Office Suite applications
- Strong executive presence and excellent verbal and written communication skills
- High-level of customer service, the ability to handle sensitive and confidential information in a professional manner, and the ability to identify when information should be escalated
- Strong attention to detail, and the ability to prioritize and manage multiple projects and drive process improvement efforts
- Excellent problem-solving skills, and agile with the ability to pivot and quickly assess priorities
- Based in Los Angeles and willing to work in-person in our Hollywood office 3 to 4 days a week
