EA & Office Assistant

Miniclip is looking for highly capable and charismatic EA & Office Assistant for our contemporary new office on Fetter Lane. Your role will be split between EA duties for our Executive Team in London, and providing the support that keeps our office running effective ly .

Please note the requirements for this role are office-based, Monday to Friday, from 8.30am to 5.30pm.

DUTIES

Working in close collaboration with the Executive Assistant and the Office Manager , duties include:

E xecutive A ssistant

  • Extensive diary management; o rganise and schedule meetings and other appointments for members of the Executive t eam in London , including m anag ing their travel arrangements ( flights, transportation, accommodation, and visas )
  • Provide EA support for visiting E xec utive team members , Tencent staff and VIP’s , such as travel and entertainment arrangements , meeting rooms and other EA support as requir ed
  • Liais ing with external guests and their assistants to arrange visits
  • Help m aintain the electronic filing system, ensuring processes and software are up to date and in good working order
  • Work with the current EA to help with the p lanning, administration and preparation for Board meetings. This may involve liaising with Tencent Directors and their assistants to co-ordinate dates and logistics; working with Finance and other stakeholders to collate and distribute the agenda and all accompanying papers in advance of the meeting
  • Ad hoc projects and research
  • Dealing with Executive expense claims
  • Assist with the logistics for attendance at key industry conferences , both in the UK and abroad
  • Assist with arrangements for the monthly Company update and tri - annual CEO update (delivered virtually) – this may include working with the CEO to determine the topics to be covered, publicising the event to employees, organising speakers, co llaborating with speakers and IT to secure content in good time to ensure it is consolidated into a single presentation deck, and hosting the update .

Office Assistant

  • Office space planning and constantly adapting our space to suit the business needs
  • S upporting on any office refurbishments or office moves
  • Be c onscious of office b udget , help manag e costs and ensur e that we always achieve best value for money
  • Employee experience – g ive support in organi sing events and promote initiatives for the London office t o help us deliver our target employee experience
  • Build relationships with all 3 rd party contractors providing services to the offices in order to ensure high standard and cost-effective services are being delivered; e.g. cleaning, maintenance, IT support, A/C , power, security systems, deliveries etc.
  • Build relationship s with the landlord and property management company to ensure that all parties operate within the terms and conditions of the leases
  • Liais ing with the Health and Safety Manager and Facility Operations Manager where needed
  • Provid e adequate Fire Safety and First Aid cover for the office and team; including attending or organizing relevant training
  • General ad min/office tasks:

­ W elcome all visitors; meeting and greeting and answering phones where necessary

­ Stocktaking and ordering of all office and kitchen supplies

­ Receiving and distributing post and deliveries (including lifting and organising boxes)

­ Organising and handling the office recycling needs

­ Scanning, photocopying, filing and other general office tasks

­ Ensuring that meeting rooms are properly set up at the beginning of the day

  • Ad hoc tasks as necessary

Other Responsibilities

  • Provide cover for the Office Manager and Executive Assistant in London during periods of absence and high workload

SKILLS & EXPERIENCE

We’re looking for a friendly, enthusiastic, disciplined and hard-working person who is passionate and dedicated about their work. The ideal candidate should have the following skills and behaviours:

  • At least 1 years’ experience as a P ersonal or Executive Assistant, or similar
  • Proven organisational and communication skills with the ability to multi-task
  • High level of integrity and discretion when dealing with confidential or sensitive topics
  • Computer/IT skills and typing ability, especially with MS Office (Outlook, Word, Excel , PowerPoint )
  • Enjoys working in a demanding and high-pressure environment at times
  • Calm, flexible and approachable attitude, able to work under pressure
  • Flexibility to work different hours as tasks require; very occasional weekend work may be required
  • Proactive and methodical approach, keen to us e initiative
  • Friendly, confident, articulate, courteous, and professional at all times
  • Maintaining enthusiasm when completing repetitive tasks
  • Willingness to learn and take on new responsibilities
  • H ave an excellent command of the English Language (both written and verbal )
