Job Summary
We’re seeking a strong leader and a thoughtful strategist to look after Ubisoft Shanghai office. Working alongside our teams at every level and every department virtually every day, you will scale and facilitate a team to champions our efforts in creating high-level workplace engagement from day-to-day operations, environment, health and safety, and other facilities related services. You will be responsible for driving initiatives to create effortless workplace experience to meet/exceed expectations and make every touchpoint throughout the employee journey a special moment.
The role has a major emphasis on project and operations management (organization, planning, process, tools, reporting), cost analysis, negotiation and communication.
The ideal candidate will have an excellent balance of people, organizational, project management, communication, and presentation skills, with the ability to interact and collaborate with the stakeholders across functions and levels.
Responsibilities
- Build and implement a strategy to make our studio a “best place to work for”, balancing the needs of the teams with studio and Ubisoft group visions.
- Direct and coordinate the day to day running of our workplace operations including: office services, safety, security, maintenance, employee amenities, cleaning, space administration, janitorial, sustainability, day to day queries.
- Develop, implement and optimize standardized/best practice workplace operations processes/tools/manual to efficiently monitor issues and create long term efficiencies.
- Plan space allocation with an optimal utilization of space resources.
- Manage office expansion and relocation projects in line with business needs.
- Anticipates and translates business & employee needs to recommend & implement creative workplace solutions & services (partnerships, community, communication).
- Responsible for the annual budget and monitor costs on a regular basis.
- Provide insights on emerging trends on workplace and facilities management, opportunities and risks affecting the studio.
- Take charge of Health, Safety, Security and Environment related programs, including various initiatives (energy savings, recycling, healthy food, plastic free, cut wastage, wellness, etc…)
- Give visibility to the studio management team (Progress, Objectives, KPIs, Roadmaps, etc…)
- Partner with Talent, Finance, IT, Procurement and Communication teams on employee experience.
- Creatively communicate workplace programs information to the stakeholders and employees
- Manage vendor relationships to ensure quality services are delivered in building maintenance, facilities maintenance, purchasing and supply management, catering, food services, mail services, safety & security, movers, relocation services etc.
- Be the liaison between building management teams and manage the office space leases.
Qualifications
Qualifications:
- Minimum five years’ experience in workplace related position.
- In-depth understanding of office management procedures, departmental and legal policies.
- Familiarity with facilities management principles and proven experience in HSSE related programs.
- Strong organizational, project management and problem-solving skills with an analytical mind.
- Ability to effectively drive multiple projects simultaneously.
- Excellent customer service and interpersonal skills.
- A trend-spotter, strong ability to brining in global workplace trends and inspirations.
- A creative problem solver with proven organizational skills, and cool under pressure.
- A team player with leadership skills
- Detail-oriented, take pride in accomplishing excellence.
- High-degree of appreciation for Ubisoft culture.
