Workplace Experience Coordinator

The Workplace Experience Coordinator role is a blend of customer service, office and facility management expertise. The Workplace Experience Coordinator will be a dynamic individual who works fast, pays attention to every detail and always strives to create and maintain the very best polished and well-kept environment possible to attract and retain the best talent. This position will support key partners in the Chicago studio and report directly to the Workplace Experience Manager. This position will coordinate all facets of the day-to-day facility upkeep, maintenance and studio engagement.
Main Responsibilities:
- Function in a lead role and provide facilities support to the Chicago studio
- Support return to the office (RTO) efforts
- Greet visitors and handle visitor registration process
- Manage, track and respond to all Facilities tickets (requests) as they come in
- Quickly and efficiently respond to all employee inquiries, complaints and requests; Ensure timely and quality service delivery to every employee. Follows up with employees to ensure complete customer satisfaction
- Responsible for meeting room set up coordination, maintaining office appearance and upkeep, such as addressing minor paint, wall repair, cleanliness and carpet issues as needed
- In partnership with the culinary team, help with lunch coordination including set up and clean up, as well as local coordination with snack + beverage vendor to ensure the kitchen is always stocked and the program stays within forecasted budget
- Assists Workplace Experience team and local business unit leader(s) with coordination of requests for office remodels, reconfigurations and moves
- Understand budget and forecast and the tracking of spending for facilities
- Manage and maintain stock levels at each printer station, kitchen, conference room and supply cabinet
- Maintain relationship with property management and Landlord regarding building; partner with property management/landlord to complete base building work and coordinate all activities
- Proactively source maintenance contractors as needed for equipment repairs, non-warranty property work that is outside the abilities or scope of the property manager’s engineers: Assisting the Workplace Experience Manager in the quoting, bidding, negotiating, purchase request/PO process and supervision of vendors as needed or directed
- Understand the importance of vendor negotiations and rapport to keep costs under budget limits while retaining a high level of service and attention to detail in all products received
- Assists the local leadership and Workplace Experience Manager in space planning: Occupancy vs Capacity of the local office
- Support onsite Security and Safety program as needed
- Prepares for new hires: Set up desks for new hires and provide building office tours and other onboarding activities
- Reports and supervises all repairs as needed
- Provides housekeeping support as needed during normal business hours
- Available to respond to building emergencies 24/7
- Confirms accuracy of invoicing from vendors/contractors and direct invoices to Invoicing Specialist for proper approval and processing
- Shipping and receiving – assists in delivering of packages if needed
- Help organize and execute team/studio meetings and events

Desired Skills and Qualifications:
- High School Diploma or equivalent preferred
- College coursework or equivalent experience, in a related area, preferred
- Office/Facilities knowledge regarding furniture systems, building systems, and floor-plans
- Must have basic knowledge of office technology – i.e. video conferencing, basic equipment troubleshooting.
- Must have basic digital literacy with the Microsoft Office suite of products
- 2+ years of administrative or office experience in a related field desired
- Task management (Overseeing multiple tasks/projects simultaneously and maintaining a consistently high level of output)
- Listening and learning (Ability to assess priorities quickly, and become proficient with protocol, culture, and processes)
- Problem-solving (Takes initiative and goes beyond established framework; looks for new ideas and creative solutions to overcome challenges)
- Ability to work in a team environment with a customer service focus
- Strong communication skills, both written and verbal
- Ability to handle confidential and sensitive information with the appropriate discretion
- A polished and professional demeanor; Able to comfortably manage clients with strong emotions or unreasonable timelines/deadlines
- Vendor management skills (fearless on the phone and at complete ease asking for deliverables, refunds, credits, etc. in a calm and professional manner); able to drive vendor relationships to a strategic end
- Creative-thinking and problem-solving skills; able to think outside of the box, propose and then execute approved processes, and resolve issues as they arise within all company policies and best practices
