The Challenge
We workplace services team, oversee the maintenance, operation, and upkeep of buildings, infrastructure, and employee services. This includes managing utilities, HVAC, security, and janitorial services. We ensure compliance with regulations, safety standards, and environmental practices. We handle repairs, renovations, and capital projects to maintain the floor. We aim to create safe, efficient, and productive environments for employees.
What You’ll Take On
1. Employee Experience
- Ensure concerns/queries raised the employees in Slack/Email/SNOW are being closed on time.
- Track the tickets and follow up for closure.
- Conduct monthly discussion with Studio-I producers / BU SPOCS and track open items
- New Hire on-boarding and Off-boarding-
- Conduct new hire on-boarding and Workplace Orientation is done for every new hire who joins the organization.
- Coordinate with HR team for providing new employees with new hire swags.
- Ensure offboarding employees Facility assests ID cards/access badges(2)/Pedestal keys are returned.
- Have monthly review of NHO slides with Facility Manager perform any changes in slides if required.
2. Event management
- Coordinate with the HR team/BU's for all major events that happens within the studio-I.
- Ensure that all necessary tasks required for the events are managed by WPX teams in coordination with the HR/BU's
- Coordinating with game teams for offsite events and arranging for their offsite events.
3. Housekeeping, Stationary,Pantry stock managment
- Ensure housekeeping staff grooming and regular tracking of attendance.
- Ensure timely submission of invoices submited by vendors.
- Ensure SOP's are in place for all HK staff and periodic review of SOP's.
- Ensure right inventory stock is maintained at site and no overstocking of materials.
- Ensure Invoices and DC's are validated before submission for payment.
- Ensure new indent is approved by Facility manager before ordering to vendor.
- Business cards/Letter heads/Note pads/Signages Ensure that Business cards are printed for requested employees with the approval of their manager and assigned the same.
4. Employee Workstation swapping/reallocation activities
- Ensure that the employees when swap or relocate to a new floor or new place within the same floors, coordinate with the game teams for allocation of workstations.
- Assist employees for the pedestal keys in case they are lost and ensure that and provide them with duplicate ones.
5. Cafeteria and Pantry management
- Plan for special events F&B program and execute without any issues.
- Plan for Bi-weekly popup counters and socialize with employees.
- Organize monthly once special lunch based on theme or festival.
- Get quaterly quote from vendor ,ensure timely invoice submission.
- Review weekly menu and approve.Ensure quality and hygiene standards are met.
- Periodic kitchen audit at vendor side and at Studio 1.
- Plan for alternate vendor and onboarding
- Conduct monthly F&B meeting with BU SPOC's or Producers
- Conduct monthly meeting with vendor and record MOM.
6. Adhoc procurement requests from buisness
- Getting quotes for various items, negotiating prices, and comparing the best price which fits for our organization.
- Managing the swags inventory for facilities and BU's. Provide monthly inventory update to Manager.
- Maintaining correspondence with all registered vendors for the best prices.
