Job Description
The Travel and Real Estate and Global Site Operations Coordinator (REGSO) supports and manages the Magic Leap Global Travel Program. We are looking for an experienced Travel Coordinator to manage and coordinate all travel-related activities for Magic Leap, Inc.
Responsibilities
- Ability to manage multiple priorities simultaneously and complete tasks with minimal supervision. Experience working with a high volume of phone calls and emails.
- Oversee the scheduling of domestic and international travel, including transportation, hotels, rental cars, and other services.
- Provide high-level customer service to travelers as well as escalate and resolve issues related to travel with potential after-hour situations through the appropriate channels of communication.
- Enforce Magic Leap Travel Policy and update the policy as needed.
- Liaise between Travel Management Company and vendors to settle travel issues in a timely manner and configure and troubleshoot online travel booking tool with the Magic Leap Business Technology Team.
- Perform safety/security risk analysis and travel requirements for different destinations and confirm that travelers have met requirements before departure. Understanding of Government travel requirements, visas, passports.
- Ability to read and interpret documents such as travel rules, operating instructions, and procedure manuals.
- Proficient with city, airline, hotel, and car rental codes.
- Expense Management: securing payment for reservations, reconciling corporate travel expenses.
- Submit invoices and vendor contracts for financial and legal review. Assist with third-party invoice approval as needed.
- Develops and maintains relationships with airlines, hotels, and/or other agencies to ensure favorable pricing and quality service.
- Data Management: Create and maintain processes and documentation for booking travel and conferences in Travel Wiki.
- Reporting: Maintain monthly reporting of cost, usage, and policy exceptions. Log travel booking errors and changes and report company travel spend.
- Ensure QBRs with providers are scheduled, and lessons learned are actioned.
- Training: Create and host Travel Training and engagement activities.
- Support all travel-related projects, from new tool deployment to continuous system enhancements.
- Maintains travel industry knowledge and conducts research to ensure appropriate customer service and problem-solving
- Pursues training and development opportunities and strives to build knowledge and skills continuously.
- Attend daily operations meetings.
- Must be available for rotational weekends and emergency weeknight travel needs arise.

Education
- BA/BS in equivalent field
