This is a Berlin-based position and a hybrid-based role, where your presence will be required in the Berlin office once a week.
About the role
We are looking for an enthusiastic Team Assistant / Office Manager (part-time) who wants to be a part of a quickly growing international company.
You will be responsible for collecting incoming mail, managing documents and organizing signatures, paying incoming invoices, and working closely with our internal People Ops and Finance teams, as well as our external Accounting team. You will also be the point of contact for our Berlin office, making equipment and supply orders when necessary, handling any repairs, and being the contact person for our Berlin team members.
Our ideal candidate thrives in a dynamic start-up environment, working as part of an international team on a wide variety of topics. The Team Assistant / Office Manager must be a self starter, quick learner and a strategic thinker who is not afraid of implementation.
Responsibilities
- Point of contact for our Berlin office
- Manage mail and documents
- Organize and coordinate signing of legal documents
- Collect, gather info, sort, pay and upload incoming vendor invoices
- Point of contact for contractors regarding set up and sending of invoices, payments, questions
- Manage expense reports
- Manage equipment and supply orders
- Care for the cleanliness and safety of the office
- Organize repairs and renovations if needed, hire contractors, ensure satisfactory work
Requirements
- At least 2+ years of experience in office administration and/or finance
- Fluent German language skills (both verbal and written)
- Fluent English (both verbal and written)
- Good attention to detail and perception
- Good communication skills
