Studio Manager

Keywords Katowice is one of our major studios with plans to grow to over 1000 staff in 2022. The Studio Manager will play a key role in planning and executing the development of our Studio. The role will provide facilities management, day to day infrastructure operations management, guide internal and external communications, promote positive morale, and oversee other activities in support of the services we provide to our customers. The Studio Manager reports to Regional Managing Director Europe and is responsible for the deployment of the Group’s strategy in the Studio. The role will closely cooperate and support the Service Line Management Team in the Studio, the senior Functional Managers, as well as collaborating with key stakeholders in other locations.
Duties & Responsibilities:
Studio Management
- Facilitate a common vision between all Service Lines & Functions operating in the Studio.
- Identify process improvements and enhance shared services for all the Service Lines present.
- Ensure the physical and virtual infrastructures of the Studio meets the Group standards and the needs Service Lines and Functions with an appropriate real-estate strategy.
- Ensure the Studio meets Environmental, Health and Safety standards.
- Manage the Office Administration Team & Fire Protection Specialist.
- Work with Group InfoSec Function to co-ordinate/lead the physical security & data protection projects, mitigating risks and addressing problem areas.
- Along with InfoSec and the Service Lines, support client audits and reports to make sure that the Studio is compliant with local regulations and client requirements.
- Coordinate / lead Studio management meetings.
Compliance
- Ensuring the Studio’s compliance with the Group’s Code of Business Conduct and operating standards as well as all local applicable regulations by supporting their implementation by Corporate Functions (HR, IT, Finance, Legal, etc).
- Supporting the Service Lines in implementing Keywords and Government policies and regulations.
- Act as Keywords local legal representative with appropriate Power of Attorney, with support from Regional Management and the Corporate Legal Team.
Budget Management
- Manage & control studio administrative costs and budgets, in cooperation with the Finance Department.
- Manage the consolidation of the Studio’s P&L and communicate back to the leadership team with detailed reports and analysis of revenue, costs, studio performance and agreed KPIs.
Culture Development
- Along with HR, Service Lines, and other Functions, promote a positive studio culture.
- Organize internal communications, company events, and morale related activities.
- Target improvement of Employee Net Promoter Score (eNPS).
- Establish excellent relationship with Universities, Local Authorities and Government Bodies that may support Talent attraction for the Studio.
- Promote a positive working environment where people at all levels feel safe, respected and engaged.
- Facilitate employee communications, promoting employee feedback and providing regular reports to the Group on employee engagement.
- Co-ordinate on all Environmental and Social Responsibility (ESR) activities within the studio, in line with the Group’s Responsible Business Agenda.
Requirements
- Degree in Business/Economics/Finance/IT/Project Management.
- 3-5 years of relevant office management experience within a professional/corporate environment.
- Good knowledge of Polish legal regulations, especially related to company operations in Poland.
- Excellent communication skills.
- Result focus with project management experience.
- Strong organizational skills & ability to work well under pressure.
- Pro-activeness and team leadership/building skills.
- Experience in leading and managing people.
- Excellent level of customer service skills, willingness to take ownership to drive the changes.
- High proficiency in Microsoft Office and high level of computer literacy is essential.
- Fluency in both Polish and English.
