(Senior) Workplace Specialist (Soft Service)

Job Description

What you will do:

To achieve the timely and efficient delivery of Workplace Management services to internal clients and support of their business needs in accordance with the Service Levels and Key Performance Indicators set out below.

To deliver high quality, prompt and courteous Workplace Management Services in support of internal client's business needs in a safe working environment.

- Daily Operation Management

• Front Desk management
• Cleaning Service
• Pest Control
• Green Plant
• Pantry and catering
• Waste Management
• Indoor Plant
• Pest Control
• Parking/Traffic
• Meeting room management
• AQI operation

Audit, monitor and control the performance of the above. Ensure clients' satisfaction by providing a high-level service.

- Space Management Support
To assist senior workplace manager for seat capacity update and regrouping coordination, to ensure the data update timely and correctly.

- Move Management
To ensure the office moves in good planning and implementation with high customers’ satisfaction rate.

- Office equipment & environment management
To ensure all office equipment, including photocopiers, fax machines, paper shredders etc. are in good working order and consumables are replenish timely
To ensure a good office environment, including arranging office ad-hoc repair, monitoring landscaping service and cleaning service
Assist to report and schedule contractors for preventative maintenance to limit the downtime for all critical equipment.
Assist to deal with emergency and arrange ad-hoc repair
To follow established escalation procedures and incident reporting procedures

- System and Data management
Be the signal contact with the related workplace systems and tools, do the communication and maintenance etc.
Initiate the employee survey and ensure the survey result is effective, make the survey analysis.

- Risk Management & EHS Related
Identify and address critical operations in a timely manner.

- Daily oversight of facilities budget and spending

- Keep good communication with multi-function teams/ landlord / BMO and have a regular meeting with them if needed.

- Any other duties assigned by the client / FM.

Qualifications

What you need to be equipped with:

• University degree
• Strong facility soft service management knowledge
• Above 5 years’ experience in managing facilities preferred
• Strong interpersonal skills and communication skills
• Proficiency in English (spoken and written)
