Summary:
Age of Learning, Inc., is looking for a Senior HR Coordinator who will have a broad range of responsibilities leading and supporting the company’s compliance obligations and day-to-day operations within the HR function. This position is part of a collaborative team working with cross-functional partners, researching laws and regulations, completing required audits and reporting, managing vendor relationships, and assisting with human resource projects. Critical to this role is the ability to maintain confidentiality and handle sensitive situations with sound judgment and discretion.
Responsibilities:
- Build sustainable relationships of trust through open and interactive communication
- Assist with employee correspondences, provide direction, answer questions, and direct to appropriate resources
- Engage and assist employees with a professional, congenial, and service-minded work ethic and attitude
- Provide timely focused advice and guidance to the HR team concerning regulatory obligations
- Submit, track, and adjudicate candidate background screenings
- Assist with completion and auditing of employee I-9 documents and E-Verify process
- Manage, communicate, and track employee compliance training
- Research, gather data and track compliance with wage and hour laws across all employee states
- Research, gather data and track compliance with leave of absence laws across all employee states
- Stay up to date with OSHA, Cal-OSHA, and OSHA-Approved state plans laws and regulations
- Prepare, complete, and submit Federal and State audits and required reporting i.e., EEO-1, EEO-1 Component 2, CA Pay Data, etc.
- Facilitate internal immigration administrative function and support external immigration vendor
- Assist with PERM labor certification process, including administrative support of recruitment activities
- Track and maintain immigration documents and serve as the point of contact on immigration-related items for employees
- Identify and facilitate continuous improvement opportunities to reduce the risk of non-compliance incidents
- Stay current with agency updates, association publications, attend compliance training, and participate in best practice meetings/seminars
- Based on regulatory changes or audit results, research and communicate recommendations for handling wage-hour compliance issues
- Update, edit and maintain HR compliance information on internal wiki (Confluence)
- Assist with department audits and HR projects as assigned
- Continuously look for ways to streamline and improve the efficiency and effectiveness of processes
Qualifications:
- High School Diploma
- Minimum of 3 years of Human Resources experience with an emphasis on compliance
- Highly organized with the ability to multitask, prioritize for efficiency
- Works well under pressure, in faced paced and changing environments
- Excellent communication skills with the ability to adapt and adjust to different communication styles
- Excellent interpersonal skills with capability and desire to work within a collaborative team
- Assertive problem solver and proactive individual who takes initiative
- Ability to work with integrity, discretion, and professionalism
- Ability to navigate and learn new software and systems quickly
- Microsoft Office intermediate skill level (Word, Excel, Outlook, PowerPoint)
