What We Need:
We are looking for an exceptional Senior Administrative Assistant to provide daily support for the head of Global Services and occasionally to the division’s department directors. You’ll have the exciting opportunity of interacting regularly with our executive team, internal and external studio heads, and business partners throughout the games and entertainment industry… all while improving the efficiency of those you support. We need a confident, proactive, and detail-oriented person who can see beyond the immediate when it comes to executing our leaders’ visions. Personality and approachability are also key in this critical role that has tons of impact.
- Provides full-service support for the head of Global Services and department Directors
- Manages and maintains calendars and schedules appointments, ensuring all parties are informed of and kept abreast of schedule changes and updates
- Meets and greets visitors in a courteous and professional manner; provides support/assistance to guests visiting from other offices as required
- Coordinates travel arrangements including but not limited to flights, car service, and hotel accommodations; works closely with company travel agency to ensure timely response and accurate itineraries; responds promptly to travel requests and updates
- Completes and processes expense reports
- Maintains executives’ offices in a professional manner, ensuring all supplies are in order and office is ready for any guests
- Coordinates meetings and functions including but not limited to preparing and distributing agendas and other materials, reserving and preparing facilities, coordinating food/beverage service, and coordinating any necessary technical support
- Attends meetings/functions as needed or requested, taking detailed notes/minutes, and disseminating as appropriate
- Develops and maintains strong working relationships with 2K management team, other employees in multiple locations, and external business partners who regularly interact with company executives
- Develops presentations as required
- Exercises considerable judgment and discretion in handling requests for appointments, meetings, and telephone calls
- Reviews and responds to daily internal/external mail and e-mail
- Composes, types, and distributes professional correspondence and e-mails, using individual initiative and as needed
- Conducts research as requested; compiles reports
- Assists with special projects as assigned
- Demonstrates a high level of professionalism in dealing with confidential and sensitive issues
Who We Think Will Be a Great Fit:
A successful candidate for this role will be able to work independently and as part of a team with minimal instruction, be able to maintain the strictest level of confidentiality, and have an eagle eye when it comes to dates, times, and details. The ability to spot inefficiencies in daily processes surrounding the executives you support will help ensure long-term success.
- Three to five years related experience, or equivalent combination of education and experience
- Prior work experience as a senior level admin, supporting Vice President-Level executives highly desired
- Prior work experience in a production environment, such as video games, film, or animation highly desired
- Excellent verbal and written communication skills; Outgoing, with excellent interpersonal skills
- Proficient on Microsoft Office Suite, specifically Outlook, Word, PowerPoint, and Excel
- Strong ability to translate concepts into polished presentations
- Professional appearance and demeanor
- Self-motivated, with the ability to multi-task, manage priorities, & manage workflow
- Versatility, flexibility, and a willingness to work with changes in priorities with enthusiasm
- Ability to work on complex projects with general direction and minimal guidance
- Good judgment, with the ability to make timely and sound decisions
- Strong organizational and problem-solving skills
- Ability to effectively communicate with people at all levels and from various backgrounds
