Receptionist

SUMMARY: The Receptionist is the first impression of T2 for every guest and employee upon their arrival to the office. This position will greet and announce visitors, answer and screen phone calls, provide administrative support to management, manage offsite records storage, help to manage conference room requests and assist with facilities department requests.
JOB RESPONSIBILITIES:
- Screen and transfer internal and external incoming calls on a multiple-line phone system; verify validity and identification before transferring
- Maintain company confidentiality; ensure requests for information are forwarded to appropriate individuals;
- Work alongside Security with respect to their procedures while receiving visitors in a professional manner.
- Assist with the scheduling of conference rooms logistics.
- Monitor ticketing system for Facilities department, owning and responding to any requests related to Reception duties.
- Schedule pickups and deliveries to and from off-site file storage; maintain log of each transaction.
- Receive and log daily deliveries; notify the Facilities team when packages are ready.
- Order business cards, forwarding proofs to the appropriate parties for approval before placing the order.
- Act as substitute for Executive Assistants as needed.
- Submit expense reports; provide administrative support to Sr. Director and Facilities Manager as needed.
- Assist with additional projects as directed.
QUALIFICATIONS:
Education and Experience : High School Diploma or equivalent and 2+ year experience managing a multiple phone line system while acting as a receptionist. Able to handle multiple tasks as one time in a hectic environment.
SKILLS:
- Excellent organizational, written and verbal communication skills.
- Resourceful and able to efficiently route incoming calls in a timely manner
- Detail-orientated with ability to work flexibly; adaptable to frequently shifting priorities
- Good computer skills, including Microsoft Office, Skype, and Adobe Reader.
- Experience with Slack, Concur, Photoshop is a plus but not required
- Diligent in the ability to work under minimal supervision.
- Superior interpersonal skills; approachable and upbeat in any situation.
