This position will support the Facility Manager in ensuring a safe, secure, comfortable, and efficiently managed reception environment. Areas of expertise include reception, administrative support, facilities and/or operational coordination.
Requirements
Work Experience
Minimum 3 years related experience in reception, customer service with administrative background, facility management or a related field such as property management or real estate.
Responsibilities :
- Manage the reception area, including answering the phone, visitor management, mail sorting and distribution, courier handling and processing, office supplies.
- Administer Facilities service requests liaising with building management and vendors, booking and following up service calls.
- Administer security access cards and employee IDs, liase with security guard and review guard reports with Facility Manager.
- Manage conference rooms in the reception area.
- Assist with organizing meetings, events, and catering.
- Assist Facility Manager with procurement and accounts payable, including purchase card reconciliation, purchase orders, invoice processing, vendor management. Work with vendors on billing issues when necessary.
- Assist with maintenance and inventory management of facilities storage rooms.
Education, Professional Training, Technical Training or Certification :
- CEGEP or equivalent preferred.
- Fully bilingual in French and English.
- Experience with SAP other accounts payable management system an asset.
- Experience with Outlook, Excel, Word, PowerPoint, Teams, Slack.
- Strong attention to detail and follow through skills.
- Strong analytical, problem-solving skills.
- Able to multi-task and manage priorities and be flexible to shift priorities as needed.
- Able to communicate thoughts and ideas clearly, professionally, and tactfully, both orally and in writing.
- Able to establish and maintain good working relationships.
- Ability to communicate and interact with all levels of employees, property management, and outside service providers.
- Ability to self-initiate and work without close supervision in a team and project-oriented environment.
- Able to maintain confidential information.
