QA Admin, Production Services (Contract)

POSITION SUMMARY
The Quality Assurance (QA) Admin, Production Services reports to the Production Manager, and will be responsible for the daily administration and maintenance of QA operations. This is position requires an employee who can work a full-time schedule.
Flexible, Remote and Work From Home options are available for this position until approximately April 2022. Afterwards we expect all employee's to join us at our new offices in Irvine, California where a hybrid work schedule will be observed.
This Role will be a 12 month Contract Role
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Process invoices from staffing agencies and external QA vendors using prescribed tools and systems. This may include, but is not limited to:
- Data entry of external QA hours and costs into the budget tool.
- Responsible for communication with Accounts Payable department to process invoices and provide all required documentation.
- Communicate with Senior QA Project Management (QAPM) staff to improve/maintain best practices.
- Obtain the proper approvals for invoices, timecards, and expense reports prior to processing/signoff.
- Review project hours and expense reports from Compliance Quality Control (CQC) staff (contractors) with QAPM staff, and track actuals as necessary.
- Create Purchase Orders in Oracle for staffing agency expenditures. Track accrued costs in the provided tools.
- Communicate with vendor contacts as necessary to dispute invoices and request revised invoices.
- Assist with the hiring of CQC staff (contractors) by communicating with either Human Resources or the appropriate staffing agency contacts. At the direction of the Sr. QAPM staff, apprise staffing agencies of hiring decisions, and provide any other service or performance feedback to relevant points of contact.
- Maintain existing training documentation as best practices change or evolve.
- Coordinate team events as necessary.
- Complete other tasks as assigned by the Sr. QAPM staff.
SUPERVISORY RESPONSIBILITIES
This position does not have supervisory responsibilities
QUALIFICATIONS/REQUIREMENTS
- Responsible and accountable. Well-organized and detail oriented. A strong team player.
- 2+ years of experience in supporting teams in an administrative role. Experience supporting a team in a technical field is a plus.
- Strong expert knowledge of Microsoft Office (Outlook, Excel, Word).
- Excellent, professional written and verbal communication, multitasking and problem-solving skills.
- Must be able to prioritize and perform multiple tasks simultaneously in a fast-paced environment, with the ability to adapt to changing priorities as directed by leadership staff.
- Experience with process documentation. Confluence experience is preferred.
- Bachelor’s degree in a technical field is a strong plus.
- A passion for the gaming industry is also a plus.
EDUCATION/EXPERIENCE
High school degree or equivalent with relevant course work acceptable.
