Project Manager (Information Governance)

As part of the Knowledge Management Services team, you will be in charge of managing several projects related to information governance, mainly aiming at improving employee experiences around searching, browsing and discovering content internally.
The incumbent will be the point of contact during all project phases and determine issues and needs in collaboration with stakeholders, assess these issues and needs and suggest and implement solutions.
Responsibilities:
The main and routine tasks of this position are to:
- Ensure and/or define process and system quality improvement by implementing best practices and/or relevant techniques when it comes to information governance;
- Meet with clients, determine, assess and understand their needs and ensure their understanding and involvement in future approaches
- Define and apply best management methods and practices and take part in their development and implementation to continually improve content accessibility & browsing;
- Collaborate with content strategists in order to develop governance models, frameworks, and documentation around tags management;
- Along with managers, determine the resources required by teams (availability, skills) and ensure knowledge transfer
- Take part in the implementation of appropriate methodologies for effective project management that meet quality standards, budgets and deadlines
- Understand the workflow processes and the inter- and intra-departmental relations and collaborate with in-house partner services as well as external providers to orchestrate and facilitate the implementation of optimal solutions and/or improvement projects and workshops
- Serve as liaison between technical and non-technical departments in order to ensure that all targets and requirements are met and to oversee tool integration (business analysts, developers, security specialists and architects, product owners, content strategists).
- Follow up on the progress of the work (team/project/production support), provide guidance on project initiatives and communicate statuses to project stakeholders on a regular basis, ensuring adequate communication between project collaborators
- Close projects (report, post-mortem, accounting);
- Carry out proactive follow ups with clients and on mandates with the customers;
- Know his/her client base, especially by keeping client information up-to-date (follow up on production mandates, general satisfaction, timelines etc.);
- Regular reporting on the status of his / her projects. Escalate risks and scope projects when needed.
- Ensure the quality of communications with clients (frequency, adaptation based on the context and product, etc.);
- Raise awareness for tags & metadata usage among internal teams;
- Stay up to date regarding information governance trends & share them with team members.
- Carry out all other related tasks.
Examples of projects:
- Enterprise vocabulary management: implement an efficient & tailored vocabulary management system
- Autotagging: collaborate with an internal team specialized in machine learning in order to train a system that will autonomously apply topical metadata on internal content.
- Content classification and an archiving strategy: deploy these strategies on key ECM systems
- Ubisoft employee profile : define vision for store and manage employee data related to their digital experience, their preferences and personal identities while being legally compliant.
- Information governance program: animate a network of information governance advocates and consolidate a global picture of the state of information governance at Ubisoft
Qualifications
Training:
- University degree in a relevant field
- Training/extensive knowledge/certification in project management or optimization and continuous process improvement approaches an asset
Relevant experience:
- Minimum of 3 years of experience in a project management role and/or in Taxonomy, Ontology or Metadata management role.
- Experience with information governance, metadata, subject classification and user experience
- Experience in working cross-functionally with strategy, information and technology professionals.
Skills and Knowledge:
- Knowledge of taxonomy, ontology and folksonomy disciplines and trends.
- Familiar with knowledge management & enterprise content management fundamentals.
- Ability to implement and analyze research and metrics reporting to make informed decisions.
- Strong problem-solving, critical and analytical skills, and a genuine interest in making continuous improvements to taxonomies based on ongoing data analysis and business inputs.
- Excellent analytical, organizational, project management and time management skills.
- Attention to detail.
- Excellent communication skills with an ability to clearly explain complex ideas verbally and in writing.
- Ability to self-motivate and self-manage while also acting as a team player.
- Passionate about website usability and the role of metadata in improving user experiences.
- Positive attitude, initiative & leadership skills are a must!
