The Role

Lumeto is searching for a Production Assistant/Project Coordinator to support the planning, coordination and logistics for upcoming testing events, pilot studies, motion capture shoots, and live operations of our Virtual Reality Training products. This role will have you working closely with the Live Operations Lead and product teams to gather requirements and ensure event readiness.

The ideal candidate has prior experience with project/production management, logistics, as well as advanced organizational and communication skills and is comfortable liaising with clients/external stakeholders. Experience in a Film & Television or VFX environment is not necessary but welcomed.

This is a position with a hybrid work environment, involving in-person and work from home.

Key Responsibilities

  • Production Coordination and Planning:
    • Support the LiveOps lead in coordinating external parties and user testing events on location, including MoCap events
    • Participate in defining project content deliverables and milestones, organize and coordinate the activities and resources necessary to the production process, following and improving existing playbooks
    • Plan and organize production schedules
    • Assess project and resource needs; ensure equipment stock levels remain adequate
    • Monitor the production processes and adjust schedules as needed
    • Track and ensure teams are delivering key materials or builds on-time in preparation for the event
    • Refine checklists to ensure that all needed items are prepared prior to events
    • Work with the Device Manager to ensure necessary units are prepared, tested and charged prior to the event including peripherals
    • Provide necessary documentation to external parties prior to events
    • Track event goals, outcomes and data collected on-site
    • Consolidate data captured from events to deliver to other teams
    • Purchase and/or return necessary equipment where applicable
    • Maintain spending records and ensure expense receipts and invoices from contractors are logged
    • Maintaining relevant process and progress documentation
  • Personnel Coordination:
    • Resourcing & Scheduling of contractors (actors, technicians, event support) and production staff
    • Ensure staffing is sufficient and briefed with logistics before arrival
    • Coordinating and booking meetings with our stakeholders
    • Coordinating, scheduling and disseminating site information
    • Point of contact for external contractors
    • Oversee and monitor schedule/agendas, timekeeping
    • Provide asset processing and delivery instructions to contractors
    • Support select administrative and clerical duties such as facilitating invoices/contracts with contractors
    • Coordinate food & travel as necessary for team members during events
