Production Assistant

The Production Assistant will be responsible for organizing resources and managing schedules both for internal and external resources and studios to efficiently plan the bookings, in compliance with the Production Manager and the projects requirements. The Production Assistant will oversee the correct development of daily recordings solving any problems that may take place in the studios.
This role is 100% on-site at our office in São Paulo. Please keep this in mind when applying.

Key Responsibilities and Activities
- Work with the Media & Entertainment team to ensure proper prioritization and update Producer daily on project status.
- Be the main point of contact between the studio and (but not limited to) talents, engineers and dubbing directors.
- Create and maintain various project calendars and trackers.
- Control physical access to the studios from actors and escorting them to the recording booths.
- Booking all the actors for the recording sessions that will take place at Keywords Studios Brazil facilities and/or external studios.
- Allocating studios, Creative Directors and Audio Engineers to schedule recordings.
- Organizing and swiftly communicating updates on daily schedule to Creative Directors and Audio Engineers.
- Reporting the recording status of projects.
- Managing all the actors’ details and providing all the necessary info needed to generate the actors’ daily report in order to guarantee their monthly buyout payment and payroll.
- Getting signed, organizing, sorting and keeping track of all the documentation related to actors’ NDAs and Releases.
Requirements
Technical Skills
- Proficiency with the Windows/MAC operating systems

- Ability to adapt to evolving workflows and new tools.
- Some experience in Administrative, Production and/or Coordination positions (experience in the Audiovisual market and/or recording studios is a plus).
- Able to communicate in English/Spanish/French (is a plus).
- Knowledge of SATED Agreements (is a plus).
- Knowledge of post-production lingo, file formats and good command of file transfer systems (is a plus).
Behavioural skills
- Passion for Dubbing.
- High level of organization, detail orientation and ability to time-manage across multiple deadlines in the execution of projects.
- Must demonstrate stellar interpersonal and communication skills when interacting with both internal staff and external vendors.
- Ability to use good judgment to prioritize tasks and allocate resources.
- Ability to work under pressure and meet deadlines in a fast paced, complex environment.
- Ability to manage sensitive and confidential information.
- Ability to teamwork in a proactive and positive manner to achieve shared goals
