Capture Production Assistant


Electronic Arts Inc. is a leading global interactive entertainment software company. EA delivers games, content and online services for Internet-connected consoles, personal computers, mobile phones and tablets.
The Capture Vancouver studio offers a multitude of Acquisition services to EA. The services encompass motion capture, performance capture, facial and body animation, head scanning and body scanning for video game titles developed by EA. While maintaining EA's core values, and development team needs, the Capture Production Assistant provides support to the Producers with production planning, project management, resource scheduling and accounting for the project from start to finish. PA’s are highly organized, pro-active and able to think fast and smart.

The PA’s are on the capture floor on shoot days and are a day-to-day contact for our internal studio and production office teams. They can deliver their tasks efficiently and on schedule while supporting multiple projects at once. Partnering closely with Producers, the PA’s are at the heart of the project and are involved from shoot set-up to studio support to data delivery.
Qualities

The successful candidate will be an approachable, professional, organized and detail-oriented person, that has a flexible approach to their workload. They are capable of organizing shoot day requirements that include call sheets, catering, travel, talent and shoot day paperwork, and its distribution. They are comfortable using custom-built software, and have extensive experience using project and data management software to perform their tasks.

Successful candidates need to excel in:

• Working well within a team and capable of working independently
• Organization and communication

Strong candidates possess:
• Experience in on-set production with an understanding of set etiquette, shoot schedule and paperwork
• Experience in performer coordination and comfortable working with athletes, actors, external crew and production teams
• Experience in a VFX, film or television production office environment
• A detail-oriented mindset
• Experience using industry tools such as Shotgun, Final Draft, Microsoft Office and Google Sheets to manage assets and workflow

Summary
• Responsible for supporting the production teams with critical administration tasks needed for each shoot session
• Responsible for production paperwork used to coordinate performer and crew shooting schedules
• Responsible for providing on-set support to the production teams through management of performer timesheet completion and approvals, script preparation and distribution, and catering and travel coordination
• Responsible for orchestrating and scheduling shipping logistics and rentals needed for location shoots

Production
• Responsible for communicating with performer casting and management teams to confirm performer crew and shoot day requirements, and processing performer and crew paperwork
• Responsible for creating and updating documentation of production workflow and pipeline
• Responsible for coordinating catering, first aid, physio, security, car services and cleaning staff
• Responsible for supporting preparation of production paperwork to include regular production reports, call sheets, timesheets, performer wardrobe schedule, filing first aid reports, printing shot lists and scripts
• Available to support the production teams with performer coordination and escorting whilst on set
• Responsible for post-shoot script and shot list destruction to maintain shoot material security
• Responsible for coordinating with the Producers to maintain an up-to-date production calendar, detailing performer and crew bookings and shoot details
• Responsible for hosting, running and recording weekly production team meetings and the distribution of meeting minutes
• Contributes to onboarding new Production Assistants to the team
• Responsible for managing expendable inventory and purchases including craft service items, and motion capture supplies
• Responsible for coordinating the shipping and receiving of shoot hardware
• Responsible for coordinating external support teams in accordance with the studio schedule
