Our People Operations Team Assistant is a master multi-tasker with excellent communication skills and an upbeat attitude. You will assist the senior leaders on the team (directly supporting our Senior Vice President of HR and multiple People Operations Vice Presidents) by managing schedules; providing polite and professional assistance via phone, mail, and e-mail; making reservations or travel arrangements; assisting with project management; and generally jumping in where and when needed to help keep the entire team on track.
What You Will Do:
- Coordinates meetings and department functions including but not limited to preparing and distributing agendas and other materials, reserving and preparing facilities, coordinating food/beverage service, and coordinating any necessary technical support
- Manages and maintains calendars for department leaders, ensuring all parties are informed of and kept abreast of schedule changes and updates
- Coordinates travel arrangements for department leaders and/or team members, and outside contacts as business need arises; works closely with company travel agency (Protravel) to ensure timely response and accurate itineraries; responds promptly to travel requests and updates
- Completes and processes expense reports for department leaders using Concur
- Coordinates with Legal on vetting any necessary department-related contracts
- Initiates Purchase Orders as needed
- Assists with new vendor set-up and any necessary security vetting
- Attends meetings/functions as needed or requested, taking detailed notes/minutes, and disseminating as appropriate
- Collaborates with department leaders on presentation creation and support
- Assists with employee programs, including but not limited to research, coordination of vendors, and communications about programs.
- Demonstrates a high level of professionalism in dealing with confidential and sensitive issues
- Reviews and responds to daily internal/external mail and e-mail
- Composes, types, and distributes professional correspondence and e-mails, using individual initiative and as needed
- Assists with event planning and implementation; maintains records of vendors and venue
- Conducts research as requested, compiles reports
- Assists with special projects as assigned
Who We Think Will Be a Great Fit:
- 2+ years of administrative assistant experience in a fast-paced office with many executives to support; HR experience a plus
- Strong organization, problem-solving, and analytical skills
- Excellent attention to detail
- Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm
- Very strong skills on Microsoft Office Suite, including advanced PPT skills
- Strong interpersonal skills, including the ability to deal effectively with a diversity of individuals and cultures at all organizational levels.
