People Operations Coordinator (Europe)

ustwo Europe consists of studios in London & Malmö, and two satellite studios in Lisbon and Tokyo. You will be part of the People Team of ustwo Europe, currently supporting in total just over 100 ustwobies.
We are looking for an efficient People Operations Coordinator to undertake a variety of HR administrative tasks. You will be one of three super users of our People system and be responsible for administrative support across the entire employee lifecycle for ustwo Europe, in creating a great employee experience.
The ideal candidate will have a broad knowledge of People Operations as well as experience with general administrative responsibilities. To succeed in this role, you are a cultural ambassador, you feel confident communicating and interacting internally and externally, you thrive in an agile environment (reflected in our daily processes, ways of working and mindset) as well as you have experience with HR systems.
Responsibilities
- Pre-onboarding administration, for example, welcome emails, welcome decks, Sage (our HR system) administration (data input), for example, setting up new starters, holiday administration
- On- and Off-boarding admin, including people induction, systems, benefits administration, exit interviews pension & insurances, IT and HR systems.
- Ops admin, for example, keeping our staff handbook (The Guide) up-to-date, drawing up and renewing contracts (employees and contractors), benefits administration etc
- Collating payroll information with finance
- System admin & Super user. Setting up the back-end configuration for new policies. Running reports and responsible for company dashboards.
- Responsible for overseeing the studio training budget
- Supporting recruitment coordination and screening of candidates together with TA Lead and/or People Team
- Keeping our ATS (Greenhouse) up to date
- Admin and reporting from our engagement survey system (CultureAmp)
- Visa process & Relocation coordination together with People Team
- IR35 status checks
- Monitoring of employee lifecycle events, e.g. probationary periods, visa renewals etc
Experience
What you will bring to the role
- You have worked in a fast-paced environment as an HR administrative assistant or coordinator
- You have a high sense of confidentiality and discretion
- You are highly organised with exceptional attention to detail and ability to prioritise effectively and juggle multiple tasks
- You possess a can-do attitude and the desire to learn, grow, and have fun
- You are resourceful and self-motivated with the ability to take initiative and resolve challenges
- You have strong technical aptitude with enthusiasm to learn new systems
- You enjoy working with systems and data analysis
- You feel confident communicating with internal and external people at all levels
- You are fluent in English, writing and speaking
- You are good at interpreting external information, practices and legalities to fit into the ustwo business and culture
- You are a cultural ambassador
- You have an agile mindset
Desirable
- Knowledge of UK and/or Swedish employment law
- Experience from working with Sage would be an advantage
- Experience from working with Greenhouse (ATS) is an advantage
- Other language(s) than English would be an advantage
- Familiarity with G-Suite
