ABOUT THE ROLE
We're looking for a highly organized Operations Coordinator for our Toronto studio! You will be working with our studio leadership team to help create an amazing and engaging workspace and experience for our Toronto Jam Citizens! The ideal candidate is knowledgeable of operations, facilities management, administration and event management. This role will be a 32 hour workweek.
**This is a 1-year contract with potential to convert to a full time permanent position .
In this era of COVID-19 , we have made significant changes to our office environment including mandatory working from home. We are committed to not require any face-to-face interaction for our employees until it is safe for our teams at which point this role will transition to include additional office duties, some of which are listed below.
RESPONSIBILITIES
- Provides administrative support to ensure efficient operation of studio.
- Act as the point of contact for internal and external contacts.
- When applicable, maintain organization and neatness of office spaces, addressing any concerns with company and property management.
- When applicable, create new processes and procedures for office operations (ie ordering supplies, meals, managing employee requests).
- Manage costs and maintain inventory for WFH office-related services and items.
- Help with planning and executing events by leading the Social Committee including team celebrations, outings, and holiday parties and working within a budget.
- Assist with new employee onboarding by assisting with calendar invites, tracking of inventory and when applicable, by managing seating plan, workstations, software, assigning keys and security.
- Develop, execute, and evaluate internal communications ensuring that studio goals, initiatives and organizational/people news are communicated regularly and effectively to applicable groups.
- Work closely with the global HR/Ops teams and senior leaders to craft and distribute key global or regional communications.
- Write and edit correspondence and written materials as assigned.
- Maintain JCTO Wiki page.
- When applicable, support travel for employee.
- Manage office/staff expenses, credit card reconciliation, and employee perks that are submitted via Oracle.
- When applicable, manage reception, greeting visitors/deliveries, scheduling meeting.
- Assist the studio leadership team in tasks and assignments.
- Perform other administrative duties as assigned.
QUALIFICATIONS
- Valid driver’s license and reliable transportation.
- Ability to travel to various sites.
- Work Hours: Must be flexible to attend events as needed.
- Bachelor’s degree in Public Relations, Marketing, Communications, Business or related major OR a combination of education and experience that is similarly equivalent.
- Minimum of two years of experience in a related field.
- Working knowledge of basic internet applications and programs including Google Suite and Microsoft Office. The ability to learn and utilize the necessary programs for this position such as Mailchimp, Canva, Adobe Suite, WordPress and Zoom.
- Ability to learn and navigate new software quickly.
- Excellent customer service skills with the ability to work with internal and external customers in a friendly, cooperative, and professional manner.
- A sense of discretion and confidentiality.
- A sense of humor, creativity & fun!
- Outstanding written and oral communication skills.
- Strong business acumen with the ability to connect employee engagement back to company objectives.
- Must be able to lift and transport materials and equipment weighing up to 30lbs as this position requires frequent bending, stooping, and reaching on a daily basis.
