Summary:
The Age of Learning Schools Division is seeking to add a talented and organized Operations Coordinator. Under the supervision of the Director of Operations, this position will enhance the effectiveness of the division by providing organizational, operational, project management, and administrative support. This position will work to assure smooth, accurate, and efficient executive calendaring, internal communications, and preparation of proposals. The successful candidate is expected to be a self-starter and multitasker with excellent attention to detail and problem-solving skills.
Responsibilities:
- Schedule, maintain, and monitor complex calendars for executive leadership
- Maintain and update department tracker of key sales initiatives on a timely basis
- Provide direct administrative support to the Director of Operations
- Assist with organizing contracts and processing purchase requisitions and invoice payments
- Support Request for Proposals (RFP) process
- Compile data and reports as requested
- Follow up on important action items
- Support the day-to-day needs of the department
- Complete other projects as assigned
Required Qualifications:
- Bachelor’s degree preferred
- Minimum of three years of experience as a coordinator or administrative assistant
- Two to three years of experience managing complex executive calendars
- Proficient in use of business productivity tools such as Outlook, Word, Excel PowerPoint, Adobe Acrobat, Slack, and Zoom; experience with Smartsheet, JIRA, Confluence, and SalesForce a plus
- Excellent written and verbal communication skills
- Ability to maintain a high level of accuracy in preparing and entering information
- Demonstrated attention to detail and problem-solving skills
- Skilled at multitasking efficiently, managing competing priorities, and collaborating effectively in a fast-paced environment
- Exceptional organizational, time management, and record-keeping skills
- A positive “can-do” attitude is a must, as is a willingness to help wherever needed
- Ability to take direction, follow procedures, and ask appropriate questions
- Capable of rapidly learning and using the organization’s management software
- Able to work independently as well as collaboratively
- Strong work ethic and discretion required
