Job Overview
The Operations Administrator role is part of the Business Support Unit, a team that stands with the CFO department that supports Business with reporting, Concur end users support and Document Management System. This role is a very interactive position with lots of internal communication, as well giving the flavor of the whole business lifecycle and making business impacting decisions.
What you will do?
Business Support
- Perform relevant tasks to vendors/partner onboarding/off-boarding including operational compliance checks under instructions from Compliance;
- Master data management;
- Reporting activities for Business, CFO and Shared Services Teams (Procurement, Concur, etc.);
- Document Management System activities such as keeping documentation updated, development from business point of view, UATs and stakeholder support, proactive communication with super-users, etc.;
- Shared Services knowledge base management, updates and communication;
- Concur and corporate cards - requests processing, end user support with Concur usage, claims reporting.
Contract Management
- Contracts process flow administration – the full Lifecyle from the Contract initiation phase to the signing;
- Reviews of contractual documentation – from administrative and semi-legal perspective;
- Perform documents reconciliation, data validation, quality checks and preparation for execution;
- Advising the business requestors for the best practices and approaches towards contracts and supporting documentation;
- Archiving activities.
What are we looking for?
- Previous experience in business administration or the contracts management at least 1 year;
- Experience in working in a multi-cultural environment;
- Detail oriented and collaborative;
- Very good communication and soft skills set;
- IT proficiency – MS office (spec. Word), Outlook;
- Language proficiency – English and Russian.
What additional skills will help you stand out?
- Understanding of different types of contracts;
- Experience with Source-to-Pay process;
- Experience with Concur and reporting.
