THE ROLE
The Office Manager with experience in handling a wide range of administrative duties and related assignments as well as operational activities. The Office Manager is responsible for general office administrative duties, including organizing and coordinating office operations to ensure an organized, efficient and safe work environment.
Duties and Responsibilities:
- Assists with front desk support as needed including assigning and collecting guest badges at the time of arrival, departure and regular badge audits
- Receives, sorts, and forwards incoming USPS, UPS, FedEx and other deliveries as needed
- Assist with ordering Costco and stocking kitchens, conference rooms, and break rooms with supplies
- Order and deliver office supplies and miscellaneous items to support office activities
- Maintains tidy, safe and professional workspaces in common areas and all conference rooms
- Ensure conference rooms are fully stocked daily
- Coordinate lunches for onsite and offsite meetings for executive staff and employees
- Assist with expense reports for the administration team and other assigned departments
- Assists with planning and scheduling meetings, conference calls and all-hands meetings
- Supports assigned divisions of the company with administrative responsibilities as needed
- Assist with orientation and onboarding of new employees
- Assist administration team in booking travel for specific individuals and departments
- Manage corporate travel accounts and ensure corporate policies are followed
- Assist with a variety of miscellaneous tasks, special projects, and other errands
Requirements:
- Proficiency in Microsoft Office, email, scanning, and other basic office equipment
- Comfortable with and able to use Windows Operating System
- Must be well organized and willing to work a flexible schedule.
- Proven office management and administrative experience
- Knowledge of office administrative systems and procedures
- Professionally handles confidential information
- Excellent verbal and written communication skills
- Excellent organizational and time management skills with the ability to multi-task and prioritize work
- Needs to be flexible and adaptable to changing priorities
- Must have a valid driver’s license and reliable transportation for running miscellaneous errands
- Able to work independently with minimal supervision
- Able to lift up to 25 pounds
Who you are:
- You are friendly and like interacting with people
- You have 1-2 years working in a professional environment, preferably in an administrative or EA role
- You have strong attention to detail and can follow written and verbal instructions
- You are excited to work in a fast-paced, dynamic environment and willing to learn
