We’re looking for an Office Administrator.
Responsibilities:
- Good English (written and spoken);
- Excellent soft skills;
- Time management;
- Ability to prioritize and multitask;
- Willingness to work beyond the standard schedule, if necessary;
- Stress resistance;
- Creativity (desirable);
- Experience in IT in a similar position is also highly desirable.
Responsibilities:
- Administration support for all site employee (not Personal assistance of anyone!);
- Office maintenance; Office renovation, coordinate repairs which are required;
- Cafeteria arrangement (food, refreshments, consumables etc.);
- Purchases support (stationery, furniture, consumables etc.);
- Visitors support (cards for visitors, scheduling meetings and appointments within the office only for multiple attendance, agenda preparation, meeting rooms management etc. ordering food, restaurant reservations);
- Support of movement of employees within the office and managing the seating map of the site;
- Supporting Finance dept.;
- Work with documents: systematization of incoming/outgoing documentation, archiving, translation, presentation design;
- Correspondence and delivery coordination, including letters to post;
- Responsible for office inventory (automated system or manual, of internal storage or external);
- Logistic support (local transportation service arrangement);
- Onboarding process;
- Execution of the: on-site and off-site events, meet-ups, conventions, team building events, birthday greetings, professional holiday greetings etc.
- Coordination of suppliers (cleaning, handyman, florists, repairs etc.)
