As the Office Manager, you oversee general operations at our new office in Lakewood, CO. Responsibilities include managing the day-to-day operations of our office to keep it running smoothly, as well as assisting HR, Marketing, and Sr. Management with travel, event planning and budget review. The role requires exceptional organization, communication, and planning skills, as well as experience with event planning and team building. This is a full time, onsite position at our Lakewood office.
Responsibilities
- Responsible for day to day office space maintenance, office management and reception duties for our Lakewood, CO office
- Receive packages, sort, deliver, assemble, install, and cleanup after delivered items, get assistance as needed
- Limit access to back office for visitors unless they are with their host and have an active NDA
- Maintain a prioritized list of office space improvements and associated budgets, review weekly with manager
- Maintain an office inventory and submit Purchase Requests weekly to ensure the office is stocked with supplies
- Enforce the key terms of our lease with Property Management, escalate unresolved problems immediately
- Notify IT, HR team on any changes or planned changes to the desk layout, office equipment, electrical, internet, and any other productivity, safety, or security resource
- Contractor outsourcing and negotiation for improvements, get approvals from manager and landlord as needed
- Maintain an up to date seating chart, coordinate with local leadership and HR on changes to desk or workspace locations
- Oversee local onboarding for new hires, including scheduling and all necessary documentation
- Be a resource for helping people find information about the company
- Assist with ideation and implementation of traditions, events, activities, clubs, etc. that improve employee relations
- Enter Invoices, Purchase Requests, and NDA’s into the approval system
- Data entry into the cash flow model for Travel and Purchase Requests
- Quickbooks Online categorizing of Purchase Requests, Travel Requests, and executive expenses as well as corporate card expenses for accounting, seek training as needed
- Travel system administration, self-help documentation, as well as general support related to travel via airfare, lodging and Lyfts
- Assist Senior Management with scheduling meetings, as well as event planning, budgeting, and implementation
- Manage DoorDash budget and ordering for employee benefit and overtime needs
- Take the initiative to identify, prioritize, call-out, and suggest solutions to problems both big and small
Qualifications
- Proficient computer skills, including Microsoft Office Suite
- Prior experience handling office responsibilities, experience in customer service, or related field
- Basic knowledge of accounting
- Excellent written and verbal communication skills; proficient in English-language business writing
- Highly organized multitasker who works well in a fast-paced environment
- Strict use of code names and complete confidentiality of project information for as long as its required
