GSN Games is looking for an Office Manager to join our team in San Francisco and Palo Alto!
About the Ops Team:
We keep everything behind the scenes running smoothly. And when we’re not working on our hundreds of physical and cloud servers, there’s a good chance we’re playing backgammon with blueprints of the office floor plan.
What You’ll Do:
This role will organize and coordinate multi-office operations and procedures, in order to ensure organizational effectiveness, efficiency and safety. This position can be based in either our San Francisco or our Palo Alto Office (soon to be Mountain View, end of March) with weekly onsite office management in the other office. This role will work closely with his/her manager in Boston, as well as his/her counterparts in other GSN Games' offices, taking on the primary responsibility for all facilities management duties. As a key member of the Facilities team, you’ll thrive on taking initiative and working independently while managing the environment and office experience of employees and visitors. You will work with other team members on activities that support facilities, finance, HR, recruiting, and other departments.
The ideal candidate will have 3-5 years of office management experience handling a wide range of administrative related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.
You Will:
- Will be the point person for building and property management
- Serve as the contact for maintenance, mailing, supplies, events, invoices related to expenses
- Works with HR and IT teams for staff changes, including processing new hires and departures, including setting up workspace, access cards
- Author and maintain internal facilities documentation, including office floor plans and seating charts
- Manage relationships with vendors and service providers
- Manage contract and price negotiations with office vendors
- Partner with HR to develop and maintain office policies as necessary
- Organize multi office operations and procedures
- Coordinate with IT team on all office equipment
- Manage office budget and ensure accurate and timely reporting
- Greets and assist visitors, willing to sit at reception desk
- Organize and schedule office wide meetings and events
- Assist with logistics of domestic and international employee visits
- Maintain and order all supplies and coordinate food orders
- Keep kitchens organized and stocked with supplies at all times
- Maintain all conference rooms' cleanliness and general appearance of the office
- Retrieve and distribute mail, manage distribution of business cards
- Manage FedEx account and handle shipment of outgoing business related packages
- Manage off business hours deliveries
- Coordinate logistics for hosted, after-hours events
About You:
- 3-5 years of experience in a similar role, maintaining an office and general office upkeep
- Experience in an office of 75+ employees a plus (or multiple offices of 30+)
- Professional, friendly demeanor
- Extremely well organized and detail oriented
- Competent in Microsoft Office and GSuite
- Effective communication skills
- Team-oriented personality that can work with all levels of staff
- Flexibility with workload; able to multitask and switch gears when needed
- Demonstrated initiative and adaptability to work in a fast paced environment
- Expertise in time management
- Ability to work with limited supervision
- Ability to maintain a positive attitude and humor under pressure
