POSITION SUMMARY
- BANDAI NAMCO Entertainment America Inc. is looking for an energetic, dynamic individual who will be responsible for maintaining office manager duties while the Office Manager is on maternity leave. The Office Manager is responsible for coordinating and directing the general housekeeping of our office. This position will report to the Senior Operations Manager and will be responsible for our front-desk reception, shipping/receiving, vendor relationship, security, supplies and facilities management. The ideal candidate is tech-savvy and has the ability to take charge when a situation requires, while maintaining a positive attitude and the highest level of integrity and professionalism.
- Office Manager (5-6 Month Contract)
- This position is a contingent staff position and employed by an external agency in service for Bandai Namco Entertainment America
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Manage day-to-day office operations
- Manage the reception area to ensure effective telephone and email communications both internally and externally
- Supervise the front desk duties and provide coverage as needed. This includes completing reception desk duties while the receptionist is on breaks or out of the office.
- Responsible for office equipment and supply procurement as well as vendor management.
- Responsible for shipping and receiving of goods on and off company premises
- Responsible for inventory items located in storage/warehouse
- Security system management: manage security guards and building alarms
- Source and oversee external facility teams and vendors, i.e. office equipment, landscaping, HVAC, plumbing, security, fire/smoke alarms and extinguishers, etc.
- Support office meetings and events
- Responsible for emergency evacuation procedures
- Responsible for keeping up to date on Santa Clara County COVID-19 business restrictions
- Assist in creating and managing COVID-19 check-in for employees and visitors
- Maintain COVID-19 related equipment and supplies
QUALIFICATIONS/REQUIREMENTS
- 3+ years of experience in an office manager or equivalent role with startup experience or small to mid-size companies
- Degree from accredited university or equivalent work experience
- Technical savvy and high proficiency in Microsoft Office
- Shows initiative and ability to work independently with minimal direction
- Highly organized and able to juggle multiple projects and priorities simultaneously
- Ability to move quickly and make on-the-spot decisions without sacrificing attention to detail
- Track record of consistently going above and beyond what’s expected
- Excellent communication skills and adaptability; the ability to work effectively across the organization and with a variety of personalities.
EDUCATION/EXPERIENCE
- High School diploma or equivalent.
- Previous experience in reception, administrative assisting, or office management.
- Strong interpersonal skills and customer service oriented.
WORK ENVIRONMENT
In light of the COVID-19 pandemic, our office has a work from home (WFH) policy in effect until July 1, 2021. This is subject to be extended. Management will continue to create and adjust plans for welcoming staff back to the office, as permitted by the county, and this position will need to be ready to assist in facilitating those plans as they develop.
A majority of the office manager responsibilities may be done at home while WFH is in effect. However, the Office Manager needs to be flexible and be able to come into the office as needed for Facilities-related responsibilities. The receptionist will be at the office daily, and the Office Manager is expected to stop by the office at least once a week to ensure Facilities are running smoothly.
