Office Manager - Genoa

THE POSITION
Miniclip is looking for highly organised and people-centric Office Manager to join the Real Estate & Workplace Services team, and being part to our great Italian Studio based in Genoa (MIT).
This is a full-time office-based position, please only apply if you have the right to work in Italy.
DUTIES
You will report to the Lead Office Manager based in London. You will work very closely with the MIT Office Assistant and alongside Miniclip Managers and the People & Organisation Team. Your main responsibilities will include:
- Maintaining an amazing office environment ! Ensuring a highly efficient and enjoyable working environment for all Miniclip staff and visitors. This means ensuring that the office is maintained to a high standard, well equipped, and properly stocked at all times.
- Alongside the Office Assistant, coordinate/oversee front office activities, including meet and greets for all internal and external visitors and upholding the brand image.
- Ensuring that the MIT office always provides a “red carpet” welcome to visitors. This means making them feel like the most important guest that has ever visited and making their experience whilst visiting totally seamless.
- Operating the office budget managing office costs and ensuring that we always achieve the best value for money.
- Employee Experience – Focus on excellent employee experience by providing a fantastic workspace and amenities. Working closely with the wider Office Management team to organise local, OneMiniclip and team building events both internally and externally. Work closely with the People & Organisation team to promote initiatives for the Italian office and deliver target employee experience.
- Assist the People & Organisation and IT team with the on-boarding of all new starters and the departure process for any leavers.
- Owning the day-to-day relationship and acting as primary contact for all vendors and 3 rd party contractors providing services to the offices, in order to ensure high standard and cost-effective services are being delivered e.g cleaning, maintenance, a/c, power, security systems etc
- Manage the relationship with the landlord and property management company to ensure that all parties operate within the terms and conditions of the leases.
- Responsible for the security of the Italy offices; including physical and electronic security systems, as well as implementing company security policies and ensuring suitable insurances are in place. This includes being on-call should issues arise.
- Working closely with the H&S Manager to ensure compliance in all Health & Safety, environment and sustainability aspects, certifications and procedures.
- Working closely with the Facilities Operations Manager supporting on the planning and implementation of any office refurbishments or office moves. Managing the office space planning and constantly adapting our space to suit the business needs.
- Assist the Head of Workplace in any necessary real estate matters.
- Providing adequate Fire Safety and First Aid cover for the office and the team based here; including attending and/or organising relevant training.
- Help manage our travel platform and, where needed, assist users in the Genoa office with bookings for travel including flights, transportation, accommodation. Where necessary assist with bookings for staff from other Miniclip offices and any other visitors.
- Organise and coordinate all office administration and procedures to ensure organisational effectiveness, efficiency, and safety.

You will have the following skills/or experiences:
- Demonstrable experience of previous office or facilities management.
- Outstanding communication skills (written and verbal) along with a demonstrated ability to build relationships at speed and motivate others.
- An excellent grasp of the English language both written and spoken.
- Excellent organisational skills.
- Calm, flexible and approachable attitude, able to work under pressure.
- Flexibility to work different hours as tasks require; very occasional weekend work
- Proactive and methodical approach, always using initiative.
- Friendly, confident, articulate, courteous, and professional at all times.
- High level of integrity and discretion when dealing with confidential or sensitive topics.
- A creative and innovative mind.
- Good computer skills, experienced using MS Office; Outlook, Word, Excel etc.
- Very good general IT knowledge, skills and understanding.
The following skills are desirable, but not essential:
- Qualified in Health and Safety (preferably IOSH)
- Trained office First Aider/Fire Marshall
- Additional languages are a benefit
