As Office Manager, you will have endless opportunities to make an impact and demonstrate your creative and innovative approach to problem solving. You will oversee all daily office operations, including managing communal spaces and liaising with external contacts and vendors; you will also streamline daily operations and gain exposure to critical aspects of business development. In addition, responsibilities include project coordination, office relocation, along with working closely with US based finance team. A confident and engaging team player with exceptional organisational skills and a desire to "jump in" wherever needed will thrive in our company’s close-knit, collaborative culture.
Some duties include:
- Ordering lunches 5 days a week for 20+ employees.
- Handling all office-related administrative work.
- Working with vendors to make sure office supplies, snacks, & drinks are always stocked.
- Facilities Management
- Adhering to local office health and safety requirements
- Managing office relocation from end to end.
- Facilitating Marketing and events department
- Working closely with finance team relating to financial reviewing and processing incoming invoices.
- Facilitating with Accounts receivable and reconciliations.
- Responsible for financial administration of office operational expenses
- Monitoring and processing of employee monthly expenses.
- Ad-hoc duties as required.
Requirements:
- 3+ years of strong previous experience in an office management role.
- 1+ years experience assisting Finance team and Office Operational Expense reporting.
- Facilities Management Experience
- High proficiency in English and German
- Exceptional communication skills in English and German, liaising with outside contacts, vendors, and all levels of management and staff.
- Tenacious self-starter with a high level of initiative and strong follow-through.
- Excellent judgment and outstanding analytical skills to facilitate logistics
- Highly organised with the ability to prioritise competing interests in a fast-paced environment.
- Must be able to confidently and effectively handle multiple assignments at once.
- Proactive problem solver with the ability to take the reins on various projects and duties.
- Outgoing, and diplomatic with a poised professional demeanour; able to work independently or alongside a team.
- Tech savvy with advanced proficiency with MS office and Google Docs.
