Office Manager, Defence

Your mission is to help our Defence business to work more efficiently. Your role will support on communications, administration, as well as having the scope to get involved in specific projects across the business, as agreed by the Chief of Staff. Your core responsibilities will include:
- Internal communications - Ensure timely communications of updates across the business Village Hall co-ordination and diarization
- Administration - Database management - support with ongoing management of our wiki and documentation storage to ensure the tools are being used consistently and effectively across the business
- Google Drive management - consistent naming conventions, appropriate archiving, transparent file structure
- Guest and meeting space management
- Ad hoc project support - Involvement in discrete projects as needed and directed by the Chief of Staff and the Operations Manager (with CoS sign-off)
- Defence Office Space oversight
- Supporting Onboarding
Example Projects that you will contribute to:
- Help improve on communications across the business through pushing messages out via the right channels.
- Be the Point of Contact for our US office on all administrative matters and advocate of the Special Security Arrangement.
- Improve the wiki quality and consistency including responsibility for Defence’s Wiki homepage appearance and content
- Improve documentation access ensuring all files are up to date and naming conventions are consistent
- POC for new starters (and new customers / partners working on-site), liaising with IT, ensuring desk set up and they have everything they need
- Managing the onboarding schedule, ensuring it flows, adjusting meeting attendees as needed, keeping US abreast of changes in onboarding material - particularly in accordance with the requirements of the SSA.
- POC for US People team and new starters with UK-run onboarding sessions and general logistics.
- Support Ops Manager with any office seating plans as and whenCoordination of Defence socials
- Assist Defence employees with meet and greet of large visitor groups as and when requested. Meeting space preparation as needed.
- Office gatekeeper, working with the Security Team and Office Team to ensure the right people are entering and exiting the Defence office space through the right doors; keeping the business informed of any updates to access and systems.
- Where possible, drive efficiency in key teams by reducing administrative workload, eg proposing researching new tools and applications that might help with this.
