OVERVIEW:
Responsible for, but not limited to front office activities, including the reception area, mail, support purchasing requests, maintaining the overall appearance of the physical space, kitchen stocking and inventory. Also responding to a variety of ad-hoc facilities requests in our 1 floor office of 1.977,39 m2 and total HC of 172.
You will assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, making reservations or travel arrangements, and generally being a helpful and positive presence in the workplace. Reports to the Office Administrator.
RESPONSIBILITIES:
- Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.
- Support creating employee badges and assigning temporary badges; and maintaining employee data in security system.
- Support with event planning.
- Ensure orderliness and cleanliness of the office, in storage areas and common areas including reception, conference rooms, kitchens and printer stations, etc.
- Assist with the ordering, organizing, inventorying and re-stocking of supplies and consumables in their respective common spaces: office supplies, printer paper, snacks, drinks, paper goods, utensils, bathroom supplies, etc
- Support the set-up and clean-up activities for business meetings, staff meetings, receptions, and special events
- Assist with office moves and the preparation of workstations for new hires.
- Assist with assembling and moving office furniture as needed
- Maintain and manage office recycling and shredding program
- Respond and follow up appropriately to email requests and reports of facilities problems
- Sort and distribute mail, log and deliver packages
- Provide general assistance Office Administrator
- Support in department projects as needed
KNOWLEDGE AND SKILLS:
- Excellent communication and writing skills with a customer service mindset
- 1+ years of basic computer skills, working knowledge of MS Office required, and ability to use a database
- Exceptional attention to detail with the ability to anticipate office needs
REQUIRED QUALIFICATIONS:
- High School Diploma or equivalent
- 1+ years of previous experience as a receptionist, general office, facilities, or administrative experience
- Well-developed interpersonal and communication skills
- Reliable with the ability to work in a team environment
- Must be able to regularly lift up to 20 lbs. unassisted, occasionally lift up to 50 lbs. assisted by equipment or other employees and rarely lift up to 100 lbs. assisted by equipment or other employees
- Ability to sit, stand, bend at waist, stoop, crawl under desks, climb a ladder and walk up and down stairs daily
- Must be able to communicate in English, in both written and oral forms (B1)
